Organizational Unit Overview:
The Office of Medical Education (OME) is strongly committed to excellence in all aspects of the physician training process. We work closely with our basic science and clinical departments as well as with all administrative units within the medical school to maximize the achievement of our students, and to support our teaching faculty in delivering a curriculum that emphasizes the science and art of medicine. OME is committed to working collectively with the faculty and administration to maintain a learning environment that values every student and facilitates the achievement of their educational goals, including their ability to lead and serve in communities across North Carolina. OME supports the teaching faculty and others in the process of providing an accredited program of undergraduate medical education leading to the MD degree and OME provides leadership in curriculum development, program evaluation, student assessment and medical education research and scholarship.
Job Duties:
The Brody School of Medicine Department of Academic Affairs is seeking to hire a full-time Assistant Director of Paracurricular Initiatives to join their Office of Medical Education team. This position provides strategic, operational, and programmatic leadership across a portfolio of student-focused initiatives and is responsible for the planning, development, implementation, administration, and evaluation of complex paracurricular programs that span undergraduate medical education. The position is a 12-month, At Will position.
Specific duties include -
Program Coordination - 60%
Independently develop and manage comprehensive program/project plans for paracurricular initiatives, including summer programming, longitudinal student experiences, and large-scale events.
Coordinate, administer, and facilitate all aspects of program operations, including scheduling, logistics, budgeting, procurement, and resource allocation.
Manage and analyze complex data systems to ensure accurate tracking, reporting, and long-term assessment of student participation and academic outcomes, providing stakeholders with reliable and comprehensive information for institutional reporting and program evaluation.
Develop, implement, and evaluate programs and projects using a continuous quality improvement framework, incorporating data-driven decision-making.
Determine and document courses of action to address complex or unique operational and programmatic issues, exercising independent judgment.
Oversee financial management, including budget planning, stipend processing, and reconciliation, ensuring compliance with institutional policies.
Coordinate and facilitate student and faculty engagement, including application processes, participant selection, orientation, and ongoing program participation.
Administer learning management systems and digital platforms, ensuring effective delivery of program content and tracking of student progress and outcomes.
Plan and execute high-impact events, including orientations, capstone experiences, research forums, and symposiums, ensuring seamless coordination across multiple stakeholders.
Understand and navigate relationships and interrelationships across organizational scope, collaborating with academic units, administration, and external partners to ensure program success.
Oral/Written Communication - 25%
Develop, implement, and oversee marketing and public relations strategies and functions to promote paracurricular initiatives to internal and external stakeholders.
Promote and market programs effectively, clearly communicating program goals, outcomes, and value to students, faculty, and leadership.
Create and disseminate high-quality communications and materials, ensuring clarity, consistency, and alignment with institutional branding.
Build and maintain relationships across various levels of leadership, fostering collaboration and strengthening program visibility and impact.
Maintain and enhance professional relationships to increase credibility and support for program growth and sustainability.
Coordinate communication strategies across multiple programs, ensuring stakeholders are informed of timelines, expectations, and outcomes.
Apply creativity in the development of engagement strategies, enhancing participation and overall program experience.
Consulting/Advising - 10%
Advise and support students and faculty in the development, implementation, and evaluation of projects, including troubleshooting complex challenges.
Facilitate collaboration among stakeholders, promoting a team-based approach to program success.
Participate in institutional initiatives and committees, contributing expertise to broader educational and programmatic efforts.
Provide guidance on program requirements, policies, and expectations, ensuring alignment with institutional standards.
Other Duties as Assigned - 5%
Contribute to evolving programmatic needs by developing new initiatives and strategies that align with organizational goals.
Support additional projects and priorities as assigned, demonstrating flexibility and the ability to deliver in a dynamic environment.
Contribute to scholarly efforts to disseminate programmatic outcomes and achievements.
Contingent on availability of funding.
Minimum Education/Experience:
Post-Baccalaureate degree required or a Bachelors degree and two years of related experience.
License or Certification Required by Statute or Regulation:

Preferred Experience, Skills, Training/Education:
Excellent written and verbal communication skills.
The ability to work independently on complex projects and attention to detail.
Proficiency in the use of the learning management system as well as Microsoft Office applications (Word, Excel, PowerPoint).
Additional software used to facilitate essential program functions and delivery (WordPress, RedCap, DocuSign, PiratePort)
