Mitchell Hamline School of Law is seeking to hire a Gift and Data Integrity Senior Specialist. This position supports core advancement operations by managing gift processing, maintaining accurate donor records, and managing Continuing Legal Education (CLE) programming for Mitchell Hamline. This role ensures timely, compliant gift entry batching, and receipting, collaborates with finance and advancement teams, and upholds data integrity across systems. In addition to handling CLE logistics and alumni registration. This position is a key operational partner, ensuring smooth internal workflows and delivering excellent service to all areas of advancement.
Essential Duties and Responsibilities:
Gift Processing and Data Management
- Accurately enter and process all gifts and pledges in Raiser's Edge, ensuring appropriate fund allocation and documentation.
- Generate and distribute timely gift receipts and acknowledgment letters.
- Monitor and manage pledge balances, send reminders, and recommend adjustments or write-offs when necessary.
- Collaborate with the Finance team to establish new gift funds, ensuring correct coding and alignment with donor intent.
- Process non-cash contributions (e.g., stock and in-kind gifts) and ensure proper documentation and valuation.
- Assist in preparing gift documentation and reports for internal and external audits.
- Conduct regular data maintenance projects to ensure accuracy in contact information, gift records, and donor preferences.
- Support segmentation and list generation for appeals, events, and stewardship activities.
Alumni Engagement and Donor Services
- Enhances alumni relations and donor satisfaction through responsive communication, support of engagement initiatives, and stewardship coordination.
- Assists in implementing alumni outreach efforts such as mailings, surveys, volunteer coordination, and digital campaigns.
- Supports donor correspondence (e.g. annual reports, impact reports and named fund reports).
- Maintains accurate tracking of donor communications, preferences, and history in Raiser's Edge.
Event Support and CLE Coordination
- Manage CLEs and on demand CLEs hosted by Institutional Advancement and supporting additional school wide CLEs and on demand CLEs. Coordinate CLE programs, including logistics, registration, accreditation tracking, and post-event evaluations.
- Serve as the primary administrator for the CLE platform, ensuring compliance with bar association requirements and participant documentation.
- Support execution of events including alumni receptions, scholarship celebrations, and annual fund initiatives.
- Prepare event materials such as nametags, guest lists, signage, and communications.
- Staff key events and assist with setup, guest check-in, and follow-up reporting.
- Track attendance data in Raisers Edge and assist with donor follow-up.
Analytics, Dashboards, and Reporting
- In collaboration with of the Director of Advancement Services, provides insight-driven reporting and managing and develops dashboards that help track progress, measure campaign performance, and support forecasting.
- In collaboration with the Director of Advancement Services, design and maintain custom dashboards for campaign, major gifts, annual fund, and alumni engagement tracking.
- Produce regular fundraising reports, prospect status updates, and gift officer activity reports.
- Conduct data analysis to identify trends, gaps, and opportunities across donor pipelines and giving patterns.
- Respond to ad hoc data requests and provide tailored reports to inform strategic planning.
- Partner with leadership to support board reporting and campaign counsel with up-to-date fundraising metrics.
Other Responsibilities
- Stay current on best practices in fundraising operations, alumni relations, and donor engagement.
- Contribute to team planning, idea generation, and cross-functional projects.
- Perform other duties as assigned in support of advancement goals and law school priorities.
Knowledge, Skills, and Abilities
- Expertise in gift processing and donor database management, preferably with Raiser's Edge or a similar CRM system.
- Strong understanding of fundraising operations, donor relations, and stewardship principles.
- Excellent organizational and project management skills with a keen attention to detail and accuracy.
- Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
- Excellent written and verbal communication skills with a focus on professionalism and customer service.
- Financial acumen for processing gifts, reconciling records, and supporting budget tracking.
- Strong interpersonal skills to build collaborative relationships with colleagues, alumni, and donors.

Minimum Qualifications
- Bachelor's degree or equivalent combination of education and experience.
- 2 years of experience in nonprofit advancement operations, gift processing, or alumni relations.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort with learning new software systems.
Preferred Qualifications
- 5 years of experience in advancement operations, gift management, or donor services.
- Direct experience with Raiser's Edge or Raiser's Edge NXT.
- Familiarity with higher education advancement, including annual fund and alumni engagement programs.
Pay Range
The anticipated pay range for this position is $24 -$30 per hour, depending on qualifications.
