CLIENT ASSOCIATION: Health Policy & Advocacy Hematology/Oncology Pharmacy Association, HOPA REPORTS TO: Senior Manager of Health Policy & Advocacy DIRECT REPORTS: None EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (Minimum 37.5 hours/week)
GENERAL SUMMARY The Hematology/Oncology Pharmacy Association (HOPA) is a non-profit professional organization that provides crucial education, networking, and advancement opportunities frequently sought by hematology/oncology pharmacists, pharmacy interns, residents, fellows, students, technicians, researchers, and administrators specializing in hematology/oncology pharmacy at all levels of practice. Reporting to the Senior Manager of Health Policy & Advocacy, the Administrative Manager supports a range of policy and advocacy initiatives to advance hematology/oncology pharmacy practitioners.
POSITION RESPONSIBILITIES
Provide office support including answering general inquiries, maintaining electronic and paper files, managing the general advocacy inbox, etc.
Provide general committee support including scheduling conference calls, coordinating meeting materials, drafting and distributing agendas and minutes, staffing calls, liaising with committee chairs, etc.
Help to coordinate Annual Conference activities and events related to these committees
Attend various internal and external meetings and take detailed notes in order to prepare and distribute meeting minutes
Help to coordinate HOPA’s virtual and in-person Hill Days events (e.g., scheduling trainings, distribution of materials, communicating with participants, etc.) in collaboration with HOPA’s Government Relations Consultant
Support the Advocacy efforts of the Association through member/volunteer support, updating the HOPA website with policy and advocacy content, and providing support to the Policy and Advocacy Team as needed
Regularly liaise and attend meetings with HOPA’s Government Relations Consultant
Maintain records related to HOPA’s advocacy activities via government affairs software
Collect, review, and process invoices and volunteer reimbursements for general policy & advocacy activities
Work with team leaders and designated volunteers to develop and manage short-term and long-term special projects as they arise
Assist with public policy activities when necessary
Stay updated on new technologies, best practices and industry trends within areas of responsibility
Other duties as assigned
EDUCATION/EXPERIENCE REQUIRED
Qualifications - Outstanding interpersonal, organizational, and communications skills. Highly motivated with the ability to manage multiple projects and prioritize to meet multi-faceted and sometimes rapid deadlines. An acute attention to detail and a high level of accuracy on outputs. Able to work successfully in a team environment.
Education - Bachelor’s Degree or equivalent experience preferred
Experience - Previous association management experience and familiarity with nonprofit boards of directors a plus. Experience with health policy and/or working with patients recommended.
OTHER REQUIREMENTS
Possible travel of up to two (2) weeks per year
Some evening and weekend work as needed
Occasional lifting, up to 50 pounds as needekd
*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
