The Senior Events Administrator, within the Office of Student Union, Event and Conference Services, provides oversight of the coordination of meetings, events, and conferences utilizing Northeastern Illinois University facilities. The Senior Events Administrator acts as the lead events administrator, offering direction, guidance and leadership in events and special programs functions including management of event staff. The Senior Events Administrator also assists with managing private rentals and ensuring revenue goals are met each fiscal year. The Senior Events Administrator assists the Executive Director with overall management of the Student Union and performs special functions as needed.
Job Description:
The Senior Events Administrator of Event and Conference Services directs the coordination of meetings, events and conferences utilizing Northeastern Illinois University facilities. The Senior Events Administrator shall also oversee the coordination of support services including Production Technical Services, University Technology Services, Facilities Management, University Police, and parking for events as needed.
The Senior Events Administrator will oversee the meeting and event reservation process utilizing 25Live scheduling software to assign dates, times, and locations to all space requests. (Approximately 11,000 meetings and events a year); lead periodic Events Planning meetings with university service providers to ensure all event logistical needs are met.
Serve as event contact and planning support for high-level university events including Board of Trustees, Presidential Events and Alumni Board Meetings, and others major university events as needed.
Supervise, train, coach and hire events staff, including the Special Events Manager, Events Coordinator and Space Administrator roles. Ensure staff are fully trained and have the resources and capabilities to succeed.
Serves as Co-Chair of the Northeastern Illinois University Commencement ceremonies and acts as the lead event administrator for Commencement.
Provides supervision, professional direction, and evaluation for student employees.
Manage University Alcohol use policy; order alcohol as needed for approved university events.
Assists in the procurement, evaluation and training for associated software and systems.
Acts as the main point of contact for the Student Union when the Executive Director is unavailable.
Shall serve on university committees and participate in other University projects as needed.
Performs related duties as assigned.
Minimal Qualifications:
1. Bachelor’s degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Student Affairs, or a closely related field.
2. One (1) year (12 months) of professional work experience in Events Planning, Conference Management, Public Relations, Communications, Marketing, or any other related field.
3. Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.
Departmental Preferences:
3+ Years of direct experience planning and managing large, complex events within an educational institution
Master’s Degree or higher in the fields of Higher Education, Hospitality or Business
1+ year experience administering 25Live scheduling software
Hours: Monday - Friday, 8:30 A.M. - 4:30 P.M. (Hours may vary depending on departmental needs).
