Position Summary We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior leadership within the Marketing organization. This role is critical to the smooth operation of the team and involves a combination of high-level administrative support, project management, and communication responsibilities. The ideal candidate will be a strong collaborator and communicator, capable of managing competing priorities in a fast-paced, dynamic environment.
Key Responsibilities
Provide executive-level calendar management, including scheduling meetings, resolving conflicts, and ensuring preparation materials are in place.
Serve as a project manager for key strategic and special projects-tracking milestones, managing timelines, and ensuring accountability across cross-functional teams.
Coordinate and oversee relationships with external agencies and vendors, ensuring timely delivery of assets and alignment with project goals.
Prepare compelling PowerPoint presentations, reports, and internal communications to support executive briefings, leadership updates, and marketing initiatives.
Anticipate the needs of leadership and proactively address issues to support efficient decision-making and execution.
Plan and coordinate team meetings, offsites, and events as needed.
Support budget tracking and invoice management related to marketing projects and agency partnerships.
Qualifications
BA degree or equivalent experience and 3+ years of experience supporting senior leaders.
Demonstrated ability to manage complex calendars, shifting priorities, and confidential information with discretion.
Strong project management skills with experience in tracking deliverables and holding stakeholders accountable.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite, particularly PowerPoint, Outlook, and Excel; familiarity with project management tools is a plus.
Highly organized, detail-oriented, and resourceful, with a strong sense of ownership and follow-through.
