Job Summary/Basic Function:
The mission of the Center for Civic Learning & Action (CCLA) is to develop ethical civic leaders who collaborate in the pursuit of just and resilient communities. The CCLA's approach to community engagement is value driven, where each of our community-based programs and initiatives is informed by commitments to: developing and maintaining mutual and equitable relationships with all stakeholders; identifying and pursuing shared goals with our partners; cultivating the critical thinking, creativity, and communication skills associated with a liberal arts education; and healing current and historical inequities in our communities. The CCLA thus operates at the intersection of Dickinson College and the community, whether at the local, regional, national, or global levels, and serves multiple constituents including students, faculty, staff, and community partners. CCLA Staff have opportunities to facilitate co-curricular initiatives that enact multiple strategies of social change, including democratic engagement, dialogue and deliberation, direct service, policy and political governance, and community engaged research. In addition to our core programs, CCLA supports a broad range of campus and community initiatives. Our CCLA team seeks an Operations Manager who values collaboration, takes a growth-minded and asset-based stance, demonstrates a commitment to education and social justice, and exhibits a willingness to be flexible and adaptable.
The position oversees general office operations and provides overarching programmatic support for all community engagement and civic learning initiatives for the Center for Civic Learning and Action. The Operations Coordinator is responsible for publicity, marketing, and educational materials designed to maximize and enrich participation from both the Dickinson Community (including students, faculty, and staff) and the community in CCLA programs and partnerships. This position manages office and program logistics (such as transportation, event management, feedback/assessment, room reservations, and supplies); takes a leadership role in all communications and marketing efforts, including student supervision on these endeavors; and works closely with the Directors to develop and maintain an annual budget for the CCLA, which involves monitoring revenues and expenditures and reconciling monthly purchasing card statements. The Operations Coordinator also serves as the lead administrator for calendar management, human resources, background checks, records management, policy development and maintenance, and space and vehicle management for the CCLA. Project and committee assignments are flexible based on the Operations Coordinator's interests and strengths.
Essential Functions:
Office Operations (30%) : In collaboration with the Directors, develops a balanced annual operating budget for the CCLA and manages budgeting, finance, logistics, and human resources for the CCLA. Develops a reporting system to ensure monitoring and fiscal oversight and works closely with center staff to address variances and unexpected budget changes. Serves as the primary point of contact for background checks and volunteer clearances for students at Dickinson College. Schedules drivers and vehicles for fingerprinting and maintains records to avoid duplicate expenses and financial control. Manages the process of ordering supplies, handles key distribution, creates student contracts, and approves timesheets for student employees.
Communications and Website Administration (30%): Serves as the primary administrator and coordinator for all components of communications and marketing for CCLA center and programs, with a focus on maximizing Dickinsonian engagement from faculty, staff, and students. Proactively maintains, updates, and enhances website; works with CCLA staff and students to provide timely, accurate, and comprehensive information about programs, initiatives, and events sponsored and co-sponsored by CCLA; produces content for Instagram, Facebook and print materials; coordinates with Dickinson's Marketing and Communications staff to ensure compliance with college policy and branding guidelines. Develops and maintains an online repository of college-generated materials of interest to campus and community stakeholders. Involves supervision of a CCLA student staff member or team related to campus outreach.
Event Management and Programmatic Support (25%): Serves as logistics lead for all CCLA events, including the Community Engagement Symposium and Annual Recognition Event, and provides programmatic support to all CCLA programs, including Days of Service, Service Trips, the Community Engagement Fellows program, Dialogues Across Differences, and others as assigned. Manages tasks related to scheduling interviews, booking event spaces, placing catering orders, and all other logistics needed to effectively run CCLA programs.
Community Outreach (15%): With direction from Directors and in alignment with staff member's interests and strengths, supports projects and efforts to deepen community engagement at local, regional, national, and global levels, which can include serving as a liaison between a community group of interest and Dickinson, participating on campus committees of interest, developing a new partnership with a community organization targeting an issue area of interest, or the development of resources to expand partnership offerings.
