The Executive Assistant to the President (EAP), under the direction of the Chief of Staff, provides high-level administrative support to the President. This full-time, exempt position has frequent high-level and confidential contact with trustees, donors, alumni, senior leadership, and other external constituents.
The EAP facilitates internal communication, performs clerical functions, schedules meetings and travel, prepares reports, receives visitors, and conducts research to support the President and President’s Office in their strategic and operational initiatives.
Specific Responsibilities:
Think proactively, anticipate issues and handle responsibilities with minimal oversight while functioning within a collaborative environment
Provide organizational and administrative support, including managing calendar, coordinating travel arrangements, preparing reports, and various correspondence for the President and as needed, the President’s Office
Provide support and back-up to the Chief of Staff
Provide additional support to members of the President’s Senior Leadership Team, as appropriate
Assist with Board of Trustee meetings, Commencement, and other President’s Office and campus events
Schedule and staff various on-campus and Board of Trustee meetings, record minutes and provide follow-up on action items
Coordinate campus-wide task force group meetings, as needed
Serve as an ambassador to the President’s Office, understanding the College structure and culture, while gaining working knowledge of College programs and services
Perform general administrative and clerical duties, including answering phones, credit card reconciliation, and processing invoices
Maintain office procedures and suggest efficiencies, as needed
Qualifications:
High school diploma and two years college coursework required. Bachelor’s degree
preferred
4 – 6 years of previous administrative experience supporting high level administrators, preferably in an academic environment
Solid organizational skills and attention to detail, the ability to work effectively (both independently and as part of a team) in a fast-paced environment, communicating actively and clearly
Working knowledge of Microsoft Office products, including Word, Excel, PowerPoint, Outlook, and database management is required
Exceptional written and oral communication skills and ability to interface with all levels of staff including administration, faculty, staff and students, board of trustees and major donors
Excellent interpersonal and organizational skills with a focus on attention to details, prioritizing and planning work activities, using time efficiently while developing realistic action plans. The employee should reflect integrity, maintain confidentiality, and provide institutional history and awareness while remaining open to others’ ideas and willingness to learn new skills
Sound judgement and ability to deal effectively with matters of a highly visible and confidential nature
Ability to think critically, strategically, and creatively about assigned tasks and analyze information to streamline processes and facilitate a smoother flow of work
