The Instructional Assistant for Continuing Education provides support for all aspects of the division performing office duties as needed to facilitate the business of the educational unit in providing services for students.
This position will remain open until filled.
The duties of the Instructional Assistant include, but are not limited to:
Provide for and ensure the security, accuracy, and maintenance of all permanent records, in all formats, of all currently and formerly enrolled students in keeping with NC Community College System standards
Organize and maintain records and files in accordance to division standards and enter data into Datatel system
Register students as needed for enrollment into class and provide receipt rosters to coordinators and key and verify grading for each section of class.
Key student registration and demographic data into Colleague, and preparing contract files and personnel files for monthly payroll
Provide advanced secretarial, administrative and clerical support to the Division to ensure effective and efficient daily office operations and maintain an inventory of office supplies and order office, instructional and custodial supplies,and equipment as needed through E-Procurement
Interact with a broad range of faculty, staff, students and external groups
Answer telephones, transfer calls, maintain voicemail, greet and direct students and visitors to the appropriate area
Audit, grade, and submit attendance rosters and time sheets at course or semester end and maintain instructor files for reference copies of registrations, time sheets and other information.
Maintain files of open and past purchase orders, code invoices,verify receipt and location of inventory, submitting revisions of expenditures to the Director of Public Safety for approval, maintain facility rentals and usages, prepare agreements and collecting fees.
Maintain a contact list of vendors for facility repairs, contacting them as needed, and supervise part-time clerical and student work-study staff

Infrequently traveling between buildings on campus, between campuses and to off-campus sites
Occasional evening or weekend duties may be required

Qualifications
Associate degree from a regionally accredited institution is required
Skills in keyboarding, public relations, communications, and problem-solving skills
Organizational skills with attention to detail and accuracy are imperative
A working knowledge of Microsoft Office programs is required
