The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
The Director, CUIMC Events will report to the Senior Director, CUIMC Events Office, and will work closely with the administration, faculty, staff, and special guests who are associated with a variety of campus-wide institutional events. The director will manage all the production and management of a variety of events, including programs for the Executive Vice President and Dean's Office, the CUIMC school deans, the VP&S Dean's Distinguished Lecture series, and endowed lectures and dinners. The director will assist the office???s portfolio supporting CUIMC commencement related events, memorial services, holiday parties, building openings, and other events as they arise. The director will manage the coordination of arrangements for guest speakers and visitors from drafting the initial invitation correspondence for leadership to planning their itinerary; including, but not limited to arranging travel, developing a meeting schedule and programmatic coordination with faculty, producing the event elements which include the lecture and receptions.
Operational and Event Planning and Execution:
Plan and execute a variety of events, including but not limited to: Research Award/Lecture Programs, CUIMC Grand Rounds, VP&S Dean???s Lecture Series, Welcome/Farewell and Retirement Events, Celebratory Events, CUIMC Employee Appreciation and Holiday, etc.
Support and assist with the logistics and operations of department events lead by team members.
Coordinate all logistical aspects and quality goals for assigned events, including venue selection, catering, audiovisual requirements, work order tickets, event staffing, on-site coordination, marketing, assessment, etc.
Develop and manage event budgets to ensure cost-effectiveness and adherence to financial guidelines.
Demonstrate a passion for event management by showcasing exceptional leadership, problem solving, and decision-making skills.
Meet all quality goals for assigned events in the areas of safety, guest service, efficiency, and appearance.
Maintain event budget. Complete all P-CARD reconciliations and ensure all PO???s and invoices are generated and paid to vendors.
Maintain financial records related to the operation of the department/events and meet required deadlines for reporting.
Ensure all client and customer inquiries are responded to with a sense of urgency.
Review event contracts and ensure accuracy for risk, liability and legal accountability.
Arrange required site inspections and meetings with clients on-site.
Collaboration and Stakeholder Management:
Collaborate with internal departments and external partners to understand event objectives and requirements and ensure strong connections for enhanced partnerships.
Build and maintain strong relationships with vendors, sponsors, and other stakeholders to ensure successful event partnerships.
Work closely with the EVP/Dean of CUIMC and the four school deans to ensure the highest standards and performance related to all events.
Marketing and Promotion:
Work closely with the communication and marketing team to develop and execute strategic promotional plans for events, maximizing attendance and impact.
Utilize various channels, including social media, press releases, and email campaigns, to enhance the visibility of our events.
Assist with writing and proofreading all event scripts, programs, marketing, websites, etc.
Conduct thorough post-event evaluations to assess success, gather feedback, and identify areas for improvement.
Prepare comprehensive reports on event outcomes, including return on investment and key performance indicators.
Other Duties as Assigned:
Assist the CUIMC Events team with recruitment of event volunteers as needed for a variety of events.
Manage the office in the absence of the Senior Director.
Attend and participate in events offered by the CUIMC Events office.
Act as a resource to the community all things related to events and stay abreast of best practices and new initiatives to enhance CUIMC events experience.
Proofread department event materials and correspondence with department staff.
Attend various department, division and university meetings on a regular basis and complete all necessary compliance training.
Other duties as assigned.
Requires a bachelor's degree or equivalent in education and experience, plus five (5) years of related experience in event management, marketing, hospitality or related field. Proven experience in event planning and management, with successful track record of executing a variety of events.
Ability to work in a fast-paced environment and handle multiple projects simultaneously; be exceptionally well organized and have focus and attention to detail. Must be able to forecast timelines, manage budgets and meet all deadlines. Excellent computer skills; proficiency in Microsoft 365 including all its programs and apps. Excellent interpersonal, public relations, communications and diplomatic skills essential as well as creativity and innovation in event planning. Background in a university and/or academic medical center is desirable.
The position must be able to work flexible hours, including evenings and weekends, as required by event schedules. In addition, the position must be able to travel as needed to various locations on and off campus for events.
