Working under the direction of the Vice President/CDO and Director of D&I Initiatives, the Executive Assistant is a key member of the ODI's support team, performing a wide range of confidential administrative and programmatic activities. This role serves as the primary scheduler for the Vice President/CDO and coordinates in collaboration with the Director of D&I Initiatives on all aspects of their scheduling commitments. Additionally, the Executive Assistant coordinates a variety of DEIJ projects for the Office for Diversity and Inclusion. This is a confidential staff position expected to maintain positive public relations, serve as an essential point of contact for ODI, and exhibit discretion, sound judgment, and acumen in obtaining and providing information.
DUTIES AND RESPONSIBILITIES
Administrative
Manage and coordinate all aspects of the Vice President/CDO schedule, including routine and complex scheduling commitments, preparing meeting agendas and minutes, coordinating with University departments regarding their participation in University ceremonies and events, and supporting other scheduling needs, as appropriate.
Provide administrative assistance such as writing and editing e-mails, drafting memos, and preparing communications on the executive's behalf.
Monitor CDO's email to handle routine responses and requests on behalf of the ODI Leadership Team.
Monitor ODI's email inbox and handle routine responses and requests on behalf of the unit.
Collaborate with the Director of D&I Initiatives, VP/CDO, and ODI leadership team to create strategic agendas for executive-level meetings, reviewing the frequency of meetings as needed to ensure administrative time is used effectively.
Be cross-functionally trained with the Shared Services Team to be able to assist with other administrative duties, as needed.
Project Coordination
Provide programmatic support to the Office by overseeing central office projects and events by managing the implementation of ODI initiatives.
Coordinate and manage relevant logistics for office-related events including arranging and assembling IT equipment for teleconferencing and PowerPoint presentations.
Oversee logistical planning of public forums including the creation of presentations and other materials.
Coordinate activities (operations and planning) and ensure a timely flow of information to and from the VP/CDO's Office.
Provide support with programs and/or scheduling for other ODI staff members, as needed.
Serve on the ODI Executive Leadership Team
MINIMUM QUALIFICATIONS
Bachelor's degree.
At least 4 years of executive assistant, or related project management experience.
Demonstrate strong project management skills, including but not limited to: managing a lot of detail and moving parts concurrently; adapting as priorities shift; and balancing a variety of tasks with differing timelines and deadlines.
Must have extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Must be extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated systems.
PREFERRED QUALIFICATIONS
Bachelor's degree in business administration or a related field.
Previous experience in higher education.
Demonstrate experience working with diverse constituencies; ability to support and promote an inclusive and welcoming environment.
Experience with customer service.
Demonstrate ability to build and maintain strong cross-functional relationships both within and external to the unit.
Demonstrate excellent verbal and written communication skills.
Demonstrate excellent organizational skills and attention to detail.
Demonstrate excellent time management skills with a proven ability to meet deadlines.
Demonstrate ability to function well in a high-paced, and at times, stressful environment.
