MSU Technologies is seeking a dynamic team member to support its operations as the Agreement Compliance Assistant, working under the direction of the Agreement & Compliance Coordinator. MSUT is part of the MSU Innovation Center, where we facilitate the commercial development and public use of technologies and copyrightable materials developed by MSU faculty and staff. Basic Function and Responsibility:
Processes, reviews, creates, and maintains records relating to intellectual property (IP) agreement compliance activities of MSU Technologies in support of the Agreement Compliance Coordinator. This position triages and analyzes all diligence and royalty reports for adherence to terms and conditions of signed licenses, options, and IP agreements, in a timely manner and with great attention to detail. Active internal communication with MSUT Executive Management, Technology Managers, IP finance and patent coordinators, other MSU staff, as well as other external communications with licensees, and partner institutions.
Description of Duties:
40% - Data and Report Processing - Maintains and updates records for MSU agreements in Intellectual Property (IP) database (Inteum). Tasks include, but are not limited to:
Receives and screens data and diverse information, and independently renders decisions to relay time sensitive information to Agreement Compliance Coordinator and MSUT staff.
Creates and updates accurate electronic files and records in the IP database and SharePoint, as critical role in maintaining data integrity.
Analyzes diligence and royalty reports against terms and conditions of IP agreements.
Maps and uploads reports to data records within IP database and SharePoint accurately, thoroughly and with great attention to detail.
Communicates with third parties to resolve discrepancies.
Assists with gathering and verifying information for reports under the direction of Agreement Compliance Coordinator.
Pulls data and generates reports as appropriate from the IP database.
30% - Compliance Maintenance of Agreements - Statement of Account process
Interacts and follows up with requests for specific actions from MSUT staff and external licensees to verify information and make judgments in order to ensure that records and resultant actions are correct.
Interprets terms and conditions of documents or agreements pertaining to licenses, options, and other IP agreements under the direction of the Agreement and Compliance Coordinator.
Reviews and verifies data in quarterly statements.
Updates data in quarterly statement with current information.
Prepares additional details and data as needed for the Agreement Coordinator and IP Finance Coordinator to resolve disputes regarding amounts owed.
Sends out statements via electronic mail on a quarterly basis.
Updates spreadsheet, logs activity related to sending out statements, and tracks statements as they are received.
Reviews and triages high volume of incoming electronic mail.
Drafts responses and acknowledges receipt of incoming reports.
Daily reviews, tracks, and prioritizes shared email inbox and US mail.
Acknowledges receipt of correspondence and drafts responses.
Prepares and/or assists in developing and compiling analytical reports and AUTM reporting.
Scans and uploads reports received via USPS and FedEx.
Answers and directs incoming phone calls regarding reports and payments.
Verifies and updates companies and contacts records in the IP database.
Assists in the development of operational processes and guidelines related to recordkeeping and agreement maintenance and compliance.
This position offers a salary range of $47,684.00 - $52,000 commensurate with experience.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree in Business, Communications, Math, Liberal Arts or related field; one to three years of related and progressively more responsible or expansive work experience in administrative record-keeping and ability to understand, apply and interpret federal, state, institutional regulations; or an equivalent combination of education and experience.
Candidates must have the capacity to comply with federally mandated requirements of U.S. export control laws.
Desired Qualifications
Experience with University Patent and Copyright policies; strong interpersonal, communication, and organizational skills as well as a high level of motivation to achieve outcomes; Outstanding interpersonal relationship skills and ability to work well with a team, meticulous attention to detail, and consistent follow through on tasks with accuracy and efficiency in mind; excellent organizational skills and ability to manage/coordinate multiple tasks and work successfully with academic scholars and staff. Expert knowledge of Office365, including Outlook and Excel; proficiency in Microsoft Teams, Zoom; experience with Inteum database is highly desirable.
Experience in reviewing intellectual property database entries for accuracy; experience in reviewing/interpreting legal documents; experience in word processing, maintaining spreadsheets and/or databases, and editing and composing correspondence; or an equivalent combination of education and experience.
