The Events Manager for the School of Business | A. Gary Anderson Graduate School of Management reports to the Assistant Dean, Marketing & Communications and works collaboratively to plan and execute school-wide events and provide support to the program offices for their events, to increase engagement among key constituencies including current and prospective students, alumni, donors, the business community, faculty and staff, and others. The responsibilities of this position include building upon the school's existing events and proactively identifying and planning new events to further engage these key constituencies. Events may be in-person, hybrid, or virtual, and include, but are not limited to, the Dean's Speaker Series, Executive Fellows Installation Dinner, scholarship awards, new building celebration events, commencement, conferences, networking mixers, retreats, town halls, etc.
The events manager will also provide support (consultation, advice, resources) to program offices in planning orientation, fall welcome back, student banquets, employer networking events, and so forth. The Events Manager will be responsible for managing events within budget and for collaborating with school and university staff/units in the planning and executing of events, following all UCR and UCOP policies including procurement policies, contracting-out policies, and other similar governing policies. The Events Manager will also contract and manage photographers, videographers, event rental suppliers, caterers, and graphic designers where applicable.
The position will also involve the creation of collateral materials including name tags, programs, invitations, fliers, PPTs, etc. (designers may be used for complicated event programs). The Events Manager will communicate directly with internal clients to identify their needs and participate, where appropriate, in contract negotiations, and will set up planning committees, schedule meetings, and recruit and manage volunteers (staff and students). The ideal candidate will take initiative, be very organized, manage stringent deadlines, and have a collaborative approach.

Key Responsibilities
Ensures smooth-running, effective events, including successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion, and political acumen.
The Event Manager is responsible for all stages of the school-wide and provides support to the program offices for their events, to increase engagement among key constituencies including current and prospective students, alumni, donors, the business community, faculty and staff, and others. The incumbent will manage the school-wide event process, from the initial contact with the client through the successful conclusion of assigned events, to include planning, organizing, coordinating, and facilitating all assigned events. The incumbent will provide logistic and contracting support for other school units.
Plans, organizes and identifies real and potential event locations and vendors.
This includes working with internal and external vendors to ensure all event needs are met within budget and timing needs.
Develops and implements event budgets.
Works with the assistant dean of Marketing & Communications, school leadership, and assistant dean/CFAO to develop and monitor budgets for each assigned event. Communicates budget updates as needed Provides regular financial reports for transparency regarding event and production budgets and expenditures.
Demonstrates good judgment in making decisions and managing events.
Consults with clients on all details regarding events and event planning.
Coordinates calendars with the Dean, Event Management & Protocol, UC Police Dept, Campus Fire Marshall and Environmental Health & Safety (EH&S), Facilities, Citrus Grove Catering, and UCR Transportation & Parking when applicable.
Determines and coordinates staffing needs.
Recruits, assigns, and trains volunteers for various events.
Education Requirements
Bachelor's degree in related area and/or equivalent experience/training.
Experience
Minimum of 5 years of related experience.
Minimum Requirements
Ability to effectively work with invited guests, donors, government officials, and university VIPs.
Ability to give clear directives and use independent, rational judgment to make optimal decisions.
Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines.
Knowledge and skill to set and monitor work standards and protocols.
Thorough knowledge and understanding of concepts, principles, and practices of event planning and public relations, including event design, organization, and production.
Thorough knowledge of the campus, its vision, mission, programs, policies, achievements, and infrastructure. Knowledge of University policies and procedures relating to the use of university facilities; event management and presentation.
Special Event/Catering/Conferencing experience in an institute of higher education. Demonstrated experience in University Policies and Procedures, as well as University financial systems. Experience with room reservation and event management software.
