The Communications & Events unit is critical to the reputation and public relations efforts of the department. The unit strives to enhance communication and engagement with and among Housing residents and potential applicants. Customer satisfaction within the living environment is essential, and community building events play a central role in housing resident engagement and retention. Housing resident satisfaction and positive word of mouth reviews have direct relation to the department's ability to generate a large applicant pool to fill vacant apartments and achieve financial solvency of the campus housing program.
This Communications & Events Manager provides overall strategic vision and voice (tone, style) for internal and external communications in order to maximize awareness and knowledge of Housing Services business and policies, as well as public relations to develop strong relationships with housing residents, campus stakeholders and the off-campus public. Encourages community development and customer satisfaction through small- to medium-sized events for Housing residents who live within campus housing.
Develops marketing strategy and public relations efforts. Takes on initiatives to expand business, services, and revenue. Serves as liaison to, and collaborate regularly with, Community and Government Relations, Campus Planning, CLS departments of Marketing and Documents & Media. Assures compliance with UCSF and CLS branding standards.
Oversees written communications, departmental publications, digital signage, social media, web content, video orientations/tutorials and event marketing. Represents departmental interest for CLS-Business Systems Development implementations on mobile app interface. Monitors web presence, reach, metrics, and provide enhancements and instruction to improve media effectiveness.
Creates, revises, and produces hard copy publications such as the annual Housing Options brochure, rental rate sheet, renewal postcard reminders, Housing resident Handbooks, and Short-Term Lodging Guide. Maintains resources for instructional use of property features and amenities. Plans and implements a strategy for developing resources and education for housing residents' use of these features and amenities.
Produces and updates relevant property maps, facilities signage, parking signage and permits, and way- finding support. Provides collateral and signage in languages other than English, as necessary. Procures translation services as necessary. Ensures ADA policy compliance for accessibility in all areas and sources of communications.
Provides written updates to housing residents and campus stakeholders regarding construction projects, noise impacts, and other progress reports. Collects information for, and compiles, weekly Housing resident Update emails specific to properties; and annual notices to Housing residents, such as rate increases, and policy or lease changes.
Outreaches to Admissions personnel and hiring departments on a regular basis to promote housing options for newly admitted or hired employees. Acts a public facing representative for presentations, at information fairs and events, during tours, and as a personal contact for high level customers. Occasionally represents housing interests in front of stakeholders and partners both internal (example: Housing Faculty Senate) and external (ex: neighborhood associations) to the University. Serves on relevant campus committees, e.g., CLS Communicators Committee, UCSF Internal Communications Committee, Construction Impacts Committee, Campus Life Team, etc.
Develops and implements strategies and metrics to assess the effectiveness of communications and outreach efforts. Practice continual improvement. Procures vendors for media-related work outside of the scope of Housing Services, e.g., finding photographers or videographers, bidding work or comparing price, and providing direction for content and branding. Collaborates with internal departmental colleagues to acquire information for publications, including property floor plans, photos, unit descriptions, dimensions, features and amenities, and housing resident education.
Provides leadership and oversight for housing resident and departmental events and activities intended to strengthen communications and engagement between Housing Services and Housing residents. Supervises one EVENT SPEC 2. Provides guidance for an annual series of community events with a direct benefit to campus housing residents. Housing resident events focus on five key thematic areas: Community, Diversity, Safety, Sustainability and Wellness.
Coordinates meeting and event logistics for department-sponsored activities. Examples are All Staff meetings, weekly huddles, team-building programs, multi-day meetings or retreats, etc. Ensures that all meeting materials, signage, and event-related digital and print communications align with UCSF digital and editorial policies and UCSF brand identity standards as posted at identity.ucsf.edu.
Manages a meeting space usage program intended to serve the Housing residents. Creates and uses feedback tools such as surveys, focus groups, and event evaluations to collect and analyze data to make improvements, justify program decisions, and produce regular progress reports.
Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.
For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.
