Job Summary:
To provide highly skilled administrative support service to relieve administrators of a number of organizational decisions and tasks. Responsible for varied administrative and financial support, correspondence, personnel matters, purchasing and complex level decisions while exercising initiative and independent judgment while following university policy and procedures.
Essential Duties:
Prepares financial transactions in UT Share including but not limited to procurement cards, travel, processing of payments, purchase order and reimbursements.
Reconciles monthly Procard statements for ASC staff.
Performs routine secretarial and clerical tasks including answering phones and filing. This includes:
Scheduling appointments utilizing Outlook and Virtual platforms for the AVP and ASC staff a requested by the AVP or Directors.
Record and distribute minutes from meetings.
Reviews, verifies and manages hiring, UT Share processing and payroll for 200+ students in ASC departments.
Assists with large and small events including menu planning, facility reservation, cost tracking, RSVP's, and on-site logistics before and during the event.
Submits work orders for office repair and maintenance
Performs other duties assigned.

Bachelor's degree with two (2) years upper level secretarial experience or high school with seven (7) years of increasingly responsible administrative, secretarial and clerical experience with one years of supervisor experience or equivalent.
Understanding of basic accounting principles and Microsoft Office Suite.
Preferred Qualifications:
Experience with UT Share/PeopleSoft.
Excellent oral and written communication skills.
Maintain high level of confidentiality.
Ability to interpret University policies and procedures.
