The American Society for Dermatologic Surgery is a national medical specialty organization with over 6,500 members, a $8.0 + million combined budget and 21 staff located in Rolling Meadows. ASDS supports its members through educational opportunities, networking forums, mentoring programs, public relations and branding initiatives, leadership activities and advocacy efforts (through the ASDSA).
SUMMARY: This position serves as an associate to the member services area. It’s responsible for processing new membership applications, reinstatement of membership and Life Fellow requests for ASDS. Serves as the primary record-keeper of membership data in the Society’s membership database and tracking residency and fellowship programs. Supports the dues collection process and reporting; and recruitment and retention efforts, including international growth. Is the primary contact for the membership phone auto-attendant and email accounts. Responsibilities include adding and updating membership records relative to existing and prospective members.
ESSENTIAL FUNCTIONS: a) Membership Processing Responsible for the membership processing functions within the ASDS membership system from the time a prospective member begins the application process. Handles all data entry and necessary follow-up during application process to ensure applications are complete. Prepares files for leadership review. Supports the membership dues billing process. b) Membership Data Maintains accurate member database files for ASDS, following agreed upon data entry standards. Updates member records, including all member contact information, reviews and locates new addresses for return mail. Contacts certifying boards and updates newly certified member records. Seeks to obtain home addresses, cell phone numbers and personal email accounts for continuity of service. c) Customer Service Maintains current knowledge of policies, procedures and organizational offerings to promote ASDS / ASDSA membership and provide information on ASDS / ASDSA programs, products and services. Educates or instructs members how to navigate information on the ASDS website. d) Residents Supports activities associated with resident members. Responsible for contacting residency training programs annually to obtain the list of new residents’ contact information, current training program directors and surgical directors contact information and updates the database. Actively researches the location of graduated residents. Supports several resident projects, including the Residents Kit, Annual Meeting Scholarship Program, Resident Luncheon, Resident Reception and Golden Scalpel competition during the Annual Meeting.
e) International Programs Supports the International Visiting Professor and International Traveling Mentorship programs. Generates correspondence, documentation, and maintains current and historical data files. Works with graphic designer to create the annual meeting ITMP collage. Provides other program support as needed. f) General Communications Serves as the primary contact for the ASDS Membership Department phone auto-attendant and email accounts, replying to members inquires and/or directing/screening inquiries as appropriate; resolving member complaints and finding solutions to member’s information needs; greets visitors; receives deliveries. g) Prepares the Annual Membership Meeting summation report. h) Responsible for maintaining documentation on all membership related processes and procedures. i) Performs other departmental task/projects as assigned by the Director of Membership.

• Minimum of three years’ experience as an administrative assistant in an association • Possess highly accurate data entry skills • Strong customer service skills, formal training preferred • Must be highly organized and possess the ability to work independently • Ability to multi-task and prioritize core duties and responsibilities • Interacts well with all levels of Association leadership, members, industry and staff • Proficient in Access or similar database systems • Excellent verbal and written skills • Skilled in Word and Excel
