What you will be doing in this role:
The Sr. Event Coordinator provides strategic support to the Associate Director of Development Events in the planning and execution of all cultivation, stewardship, recognition and fundraising events and experiences, both virtual and in-person in this hybrid role. Complete events as assigned and works independently to plan and complete the event cycle, while meeting the needs of the client and all key partners in alignment with brand standards, and with minimal direct supervision. Collaborates cross-functionally with team members across Cedars-Sinai to develop seamless and engaging donor events and experiences. Prepares status reports on project plans, progress and results of activities. May provide lead direction, functional oversight and/or training of junior staff. In this role you will:
Function as the lead Development Events contact for all assigned events. With the support of, and/or under the direction of the Associate Director, plans, coordinates and implements development events. This includes virtual and in-person events.
Lead intake meetings with internal partners for all assigned events; responsibilities include support in developing scope of work, soliciting bids, creating planning and event timelines, development of communication, briefings, etc.
Develop thoughtful communication strategy with all key partners, coordinating post-event follow-ups, engagement and demonstrating leadership.
Coordinate the production of all event-related printed and digital materials. Reviews and approve all data requests, digital mailings, emails, content requirements, awards, signage, host gifts, programs and final lists.
Act as a liaison to off-site venues and/or vendors for all assigned events and coordinates all event production needs. Coordinates vendor contracts and terms in accordance with budget constraints and guidelines.
Be responsible for on-site event logistics including catering, signage, staging, setup, awards, event security and other required event details. Act as event day lead and coordinate with vendors and additional event staff, as required.
Work with members of Advancement as well as other internal partners to ensure that all detailed criteria and procedures for Development Events are properly documented. Tracks event gifts, event budgets, check processing and documents in appropriate database (e.g., Raiser's Edge).
Identify new and efficient steps in the event planning cycle that contributes to departmental success.

Requirements:
High School Diploma or GED required. Bachelor's Degree in Communications, Marketing Communications, or Event Planning and Management or related field preferred.
Minimum of two years' experience in Event planning, event management, production, public relations or related experience required. Prefer at least five years' in successful event management, event planning, or a related, preferably in a hospital, academic or nonprofit research organization managing large fundraising events.
