Please take a moment to review NOVAâ™s Annual Security Reports.General Description: Provide administrative support to the S&AT division including the Dean and Associate Deans. The Administrative Assistant helps to manage day to day operation of the division office. This position interacts with other offices, full time and adjunct faculty, and students to answer queries concerning division and college policies.Duties and Tasks: â¢Office Administration: Provides sole coverage of the division office during the absence of other Administrative staff: answers queries concerning course offerings and schedules for students; coordinates correspondence between faculty and students; collects syllabi, attendance sheets and other requirement items from faculty. ⢠Adjunct Faculty Personnel Files: Assembles all documentation required for employment of new adjunct faculty; coordinates with HR the credentialing of prospective adjuncts; obtains official transcripts, completes 105-47A forms with Associate Deans, and submits all paperwork for Division Dean and Provost signature. Scans all paperwork into ImageNow. Reviews files of returning faculty for completeness; Coordinates the adjunct contracts, evaluations and promotion paperwork. Revises adjunct mailboxes each semester. â¢Textbook Requirements for Faculty and Campus Bookstore: Coordinates and submits student textbook information to campus bookstore with Associate Dean guidance and orders desk and examination copies for instructor use each semester. Contact with publishing company representatives, Associate Deans and/or their designees and campus bookstore manager is required. â¢eVA Ordering: Orders office supplies and other items as needed through the eVA (Electronic Virginia) system. Keeps track of all orders and obtains paid receipts from vendors. Assist with program inventory management (eVA) as needed. â¢Manage all faculty print requests. â¢Enter and monitor faculty workloads and other forms and paperwork as requiredEssential Functions: â¢Administrative support and Division office coverage â¢Adjunct Faculty Personnel Files â¢Full time Faculty Personnel Files and Workloads
Required KSAs:Excellent written and verbal communication skills.Excellent organizational skills.Ability to prioritize simultaneous duties.Computer competent in Microsoft Office and databases and have excellent keyboarding and production skills.Good public relations/customer service skills.Ability to lift at least 25 pounds (mail, textbooks, etc.).Possess the ability to multi-task and work with minimum supervision.Excellent customer service skills.Minimum Qualifications:High School Diploma/GED or equivalent applicable experience and/or training.Significant experience working in an office environment using Microsoft Office suite or equivalent training and experience.
