The USC Gould School of Law Events Office is looking for an experienced event planner to join their team. The Special Events Coordinator is responsible for the strategic development of a variety of events. The successful candidate will plan, design, organize and execute special events.
The Special Events Coordinator can be expected to manage all aspects of 30-50 events annually and provide detailed reports on each project. The ideal candidate will have excellent administrative and organizational skills and be able to demonstrate experience using Microsoft Excel. Familiarity with list management, website administration and basic graphic design is also key. The candidate must be able to communicate effectively both in person and in writing and demonstrate the ability to work with all types of people. Programs and events may take place on the USC campus or at an off-site venue which will require the coordinator to travel locally. The candidate must have transportation to run event-related errands and to get to and from off-campus events and meetings. This is a high profile position in a collaborative, fast-paced, team-oriented environment. Early mornings, nights and weekend work will be required.
Job Accountabilities:
Plans and directs special events. Acts as event liaison between department or school and vendors, alumni, donors, etc. Develops concepts, designs and coordinates mailings of promotional materials and invitations and directs logistical planning. Maintains records on event activities, progress, status and post event summary.
Attends events to oversee activities and ensure details are handled as planned. Addresses any issues that may arise and will remain on site after the event is over to ensure proper clean up. Works with and gives guidance to volunteers and staff involved in event planning and execution.Â
Negotiates and contracts with vendors for a variety of goods and services related to special events planning. Monitors delivery of goods and services to ensure contract terms are satisfied.
Develops and maintains an extensive network of contacts, both internal and external, to facilitate event coordination.
Develops and controls budgets on a program or event basis. Negotiates financial terms and authorizes expenditures with oversight from supervisor.
Determines staffing needs for special events. Authorizes or secures temporary or additional staff, as required.
Performs other related duties as assigned or requested. The university reserves the right to add or change duties at any time.

Preferred Qualifications:
Education: Bachelor's degree
Experience: 3 years in event planning with heavy administrative
responsibilities.
Field of Expertise: Bachelorâs degree in hospitality, business administration, communications, public relations, or related field. Experience in higher education. Experience planning and coordinating corporate events. Proven leadership and project management abilities. Understanding of all relevant state and local event regulations. Knowledge of local community
