Summary of Position
This role provides financial support for the Humphrey School of Public Affairs, serving as the primary contact for various financial functions. The position compliantly and knowledgeably adheres to the School and University policies and procedures in areas of budget, financial management operations, and audit. This position is expected to demonstrate ethical and respectful behavior while fulfilling responsibilities assigned.
By virtue of serving as the contact for staff with the Financial Services Office for the assigned units, this position must help and support School employees with how to proceed for a spectrum of financial activity. Moreover, as part of a shared services team, responsibilities may extend to and involve the University of Minnesota Law School.
This role is a hybrid role with expectations to work in the office approximately two days per week.
The salary range for this position is between $20.67 to $22.37 per hour with a start date of Summer 2022.
Responsibilities will include:
Requisition preparer - create requisitions including UMarket, general requisitions, and professional service requisitions
Procurement Card reconciliation - reconcile Pcard activity for Pcard cardholders. Assist with gathering documentation, verifying submissions are complete and accurate, and promoting and enforcing compliance with University of Minnesota policy
Chrome River processing - review expense reports for employee reimbursements and support system entry through role as Chrome River Navigator. Confirm entries are complete and adhere to University of Minnesota policy
Travel Card monitoring – generate reports to monitor Travel Card activity and work with cardholders to help advance entry
Departmental deposits - prepare departmental deposits for cash and check deposits received by the school
Journal entry - partner with finance team members to prepare journal entries to assist with transfers of funds and redistribute revenue and expenses when appropriate
Document scanning - image documents for electronic record keeping
Monitor status of requests entered to confirm they are advancing through the system and post. Identify budget errors and requests in suspense and work to resolve issues
Generate reports to help support financial service team efforts
Document preparation - compile and prepare necessary documentation financial transactions
File paper documents
Front desk hosting - welcome people to the office
I-9 processing – work with new hires to complete I-9 processing
Other duties as assigned
Required Qualifications
High school diploma, 2 years office experience or education to be substituted for work experience.
Computer and software competency and experience. (Google, Microsoft Office).
Demonstrated skill with MS Office (Word and Excel); working knowledge of spreadsheets and data entry.
Demonstrated ability to work productively, professionally and effectively and ensure a welcoming environment for a diverse constituency.
Organized, detail-oriented, and able to handle many duties simultaneously; knowledge of and willingness to adhere to strict deadlines; excellent time management skills.
Strong, positive interpersonal skills; ability to work well within a team.
Excellent verbal and written communication skills with the ability to effectively present information to non-financial end users.
Evidence of the ability to effectively make decisions and resolve problems.
Preferred Qualifications
Job experience to reflect working with accuracy, prior scanning and archiving experience.
Experience with financial systems (such as QuickBooks, Epicore, SAP, PeopleSoft, etc.).
EFS and Customer services experience. Paying invoices using PeopleSoft and ImageNow, Perceptive Content.
