This role is a unique opportunity to gain exposure to a broad range of senior leaders and communications functions to take your career to the next level. We are looking for a driven, resourceful, and organized individual with great attention to detail to support the communications team in a largely administrative capacity initially, with the short-term opportunity for project-based writing/editing work for an individual with the right skill sets and room for long-term growth within the communications organization. The purpose of this position is to provide a wide range of business operations administrative and general support duties of a highly responsible and confidential nature to communications leadership, reporting into CBRE's Senior Managing Director, Corporate Communications. This position will consist of both executive administration responsibilities for communications leadership, as well as support operations for the larger communications team.
This role enables success by helping to anticipate, articulate, and execute across a fast-paced, collaborative and agile organization - with interactions within communications, broadly across the firm and with important external business partners
Plans, coordinates, and supports meeting and conferences with a strong emphasis on calendar management. Arranges domestic and international travel.
Drafts confidential correspondence, edit documents, take and transcribe minutes of meetings, and perform other administrative and secretarial duties.
including the opening of job requisitions, onboarding coordination, adding talent to various team databases alongside Talent Management / Recruiting teams.
Serves as a liaison between executives, internal management, employees, clients, and visitors as required.
Reviews incoming correspondence, lead initiative to determine appropriate action required. Leads and monitors issues for appropriate follow up.
Reconciles expense reports for communications leadership.
Performs certain project-based writing/editing, etc. work as assigned by the Senior Managing Director of Corporate Communications and/or other senior leaders of the department.
Creates, maintains, and/or updates various databases. Extrapolates, analyzes, and presents data for management information reporting purposes.
Takes independent action on handling requests; determines the appropriate course of action, intervenes where necessary, and acts as a liaison between departments.
Administers the department/business unit record keeping system; updates various department/business unit records and publications; ensures that department/business unit files are maintained in accordance with company policies and procedures; reviews requests for information and determines the appropriateness of release.
