Summary of Essential Job Duties:
The Department of Anesthesiology is offering a highly motivated professional the opportunity to serve as Operations Analyst in the department with primary responsibilities for supporting department-level clinical operations, including data analytics and reporting. In addition, the incumbent will be responsible for establishing, maintaining and leading administrative, technical and customer service processes for the Department, including staff scheduling, coordinating per diem schedules and tracking early departures and late arrival records, assisting with improvin and implementing policies and procedures and conducting evaluations for quality and process improvements.
The successful candidate will have exceptional written and verbal communication skills, be regarded as a team player, have strong and proven organizational skills, experience in data analytics and reporting, and have a personal drive to be their best. Experience working with Epic EHR is required. Experience working in an academic medicine environment is highly preferred.
Primary Duties & Responsibilities
Develops and produces dashboards and reports of productivity and utilization views using existing data sources; coordinate efforts with Business Intelligence.
Provides data sets and analytics related to the clinical mission.
Performs statistical analysis of operating room cases vs. providers and other related activity reports. Provides faculty, nurse and staff projections.
Analyzes and develops monthly physician productivity reports.
Prepares, reviews and maintains call schedules and daily anesthesia schedules.
Maintains vacations, meetings and request logs for over 140 anesthesiologists and 40 nurse anesthetists
Monitors and sources requests for information (e.g. audit requests, compliance).
Documents departmental processes and their intersection with central campus processes.
Serves as administrative liaison for the clinical scheduling software of choice (QGenda).
Supports timekeeping functions in the clinical scheduling software (QGenda).
Monitors accuracy of data between multiple applications and the clinical scheduling software (QGenda).
Collaborates with lead faculty schedulers for implementing best practice in the scheduling software, to enable timely and useful reporting from the application.
Documents definitions and coordinates the development and maintenance of policies and procedures for service roles (e.g. administrative days).
Receives special requests and determines whether requests can be granted.
Make daily updates in schedules as dictated by changes in assignments; maintains call points. Consults with faculty and nurse anesthetist regarding schedule, statuses of personal leave availability, call and special requests.
Coordinates and manages internal and external per diem process.
Investigates and assists in identifying a provider in case of staffing shortages.
Creates, updates and publishes web pages for vacation slot openings, call schedules and daily clinical schedules.
Develops and implements call rules for efficient and effective call distribution.
Updates Financial and Administrative Services staff leave records.
Acts a liaison within the department and promotes and maintains good public relations with OR scheduling department.
Education:
High School Diploma/GED Required
Bachelor's degree preferably in Business Administration or healthcare related discipline.
License/Certifications:

Experience:
Two to five years experience in quality and process improvement.
Organizational and analytical skills.
Epic EHR experience
Experience in health care analysis, preferably in an acute care environment.
Experience in business, operational, and/or quantitative analysis
Previous human resources or supervisory experience strongly desired.
