Department SummaryThe Office of Strategic Communication (OSC) is responsible for leading and managing the university's marketing, public relations and media relations activities to advance the university's mission, core values, and strategic directions. The OSC is challenged to develop a top-flight external relations and internal communications program targeting the institution's diverse constituencies and to develop successful marketing and public relations efforts that enhance the image and visibility of California State University, San Bernardino (CSUSB). By promoting the strengths and accomplishments of CSUSB to regional, national and international audiences the OSC plays a critical role in advancing the University and cementing CSUSB's reputation as a preeminent center of intellectual and cultural activity in Inland Southern California.

Job SummaryThe Project Coordinator will work under the direction of the Director of Strategic Communication & Brand Management and is responsible for processing client requests, translating requests into project and task deliverables, coordinating the office's project list, monitoring internal project progress and communicating status updates to clients. The role of the Project Coordinator is to plan, execute and finalize projects according to strict deadlines and within budget. This includes acquiring resources and coordinating the efforts of team members and third-party contractors or consultants in order to deliver projects according to plan. The Project Coordinator will also define the project's objectives and oversee quality control throughout its life cycle.
Responsibilities include, but is not limited to:
- Proof various resource material during various stages of development.
- Coordinate outside contractors, vendors, freelancers, consultants, etc. when necessary.
- Oversee and process on a daily basis the internal proofing and university-wide official logo approvals.
- Provide training and support to OSC staff to ensure project management tools are effectively utilized.
- Attend CSUSB committees/meetings as needed to provide support for project planning and developing messaging strategies.
- Contribute to CSUSB's vision of being the academic leader in customer service through quality, commitment, courtesy and teamwork.
- Directs and coordinates project development from beginning to end; first point of contact for clients on all projects; educates clients on all policies, procedures and brand guidelines.
- Defines project scope, goals and deliverables in collaboration with the Director of Strategic Communication & Brand Management, Senior Digital Creative Content Strategist and stakeholders; translates client requests into project and task deliverables.
- Develops full-scale project plans and associated communications documents.
- Effectively communicates project expectations to team members and clients in a timely and clear fashion. Sets and coordinates project expectations with team members and clients. Delegates tasks and responsibilities to appropriate personnel and identifies and resolves issues and conflicts.
- Estimates resources and participants needed to achieve project goals.
- Plans, schedules, and tracks project timelines, milestones and deliverables using appropriate tools. This includes building intake forms, managing the creative workflow system of record, and reporting on creative operational KPIs. Delivers and presents progress and status reports as necessary, including year-end reporting.
- Proactively coordinates changes in project scope, identify potential crises and devises contingency plans.
- Conducts project post retrospective and creates a recommendations report in order to identify successful and unsuccessful project elements.
- Develops best practices for project execution; assists in preparing documentation and training materials.
- Performs various administrative tasks, including filing, scheduling meetings, note taking, and document and presentation preparation.
Employment Status: Full-time, Exempt, Probationary with the possibility of converting to permanent.

Work Schedule - Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.
Key Qualifications - Project management experience, as well as the ability to balance multiple projects and work effectively under deadline.

Education and Experience - Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS two years of related experience.
Preferred Qualifications - Two years experience in Project Management.
- Experiences using Wrike and proofing software such as Ziflow or ProofHQ.
- Passion for California State University, San Bernardino.
- Working knowledge of university organizational policies, rules, regulations, procurement, purchasing.
- Experience in a higher education development or marketing setting is preferred.
SalaryAnticipated Hiring Range: $3,897 - $4,166 per month
Classification Salary Range: $3,897 - $7,051 per month
