Job Description:The Executive Assistant, Athletics Administration reports to the Director of Athletics and provides advanced administrative support for the top management of the College of the Holy Cross. Assignments involve work of a confidential or complex nature, requiring considerable discretion, judgment, tact and diplomacy. Gathers, assembles and analyzes information and data from a wide variety of sources. Performs a broad range of complex duties involving confidential or technical information, such as compiling reports, furnishing information, scheduling meetings and preparing agendas. Responds to routine correspondence, researches background material and responds to visitors and telephone calls. May exercise considerable judgment and discretion in completing assignments. Produces reports, spreadsheets, presentations or other documents.
Major Areas of Responsibility:- Develop and revise policy and procedures and identify software needs to support departmental programs. Update policy and procedures to support the Executive requirements.
- Considerable responsibility in representing the executive on internal/external committees, organizations and bodies.
- Provides direction on activities and events within the executive's organization.
- Performs other administrative duties such as preparing substantive reports, memos and correspondence.
- Manage all aspects of assigned special events from planning and logistics to event implementation of staffing plans, collaboration with various units within athletics, the College, and external clients.
- Facilitates the management of Performance Management System initiation and closure
- Supervises and/or conducts thorough options for travel arrangements, when required.
- Demonstrates advanced proficiency by quickly adapting to new technology and easily acquiring new technical skills
- Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks and participating in professional societies.
- Prepare and monitor department supplies and inventory
- Administer/compile end of season surveys for student-athletes, coaches, and staff
- Coordinate with the Director of Athletics the Senior Staff master calendar.
- Assist with fundraising efforts and coordination in conjunction with the Crusader Athletic Fund
- Supporting the Senior Associate Directors of Athletics in coordinating functions of various administrative areas
- Supporting sport administrators with preparation and communication related to post-season travel at the Conference and NCAA level
- Coordinate new staff orientation, when required.
- Other administrative duties as assigned
Requirements:Minimum Qualifications:- Bachelor's degree in education, business administration, sport management, public relations or a related field. One - three years' experience working in athletics administration (work at undergraduate level will be considered).
- Proficiency in Google Workspace, Microsoft Office Suite, Adobe Suite
