This is a staff position in the Department of Psychiatry & Behavioral Sciences at the Keck School of Medicine of USC. The position is full-time. Salary is competitive, and contingent on experience. A generous benefits package includes health insurance, sick time.

The USC Department of Psychiatry and the Behavioral Sciences is seeking a bachelors or masters level Operations Coordinator with a broad array with skills to support a growing academic and clinical enterprise.Â Â This person must be driven to success and self-motivated, as well as a strong team-player who can jump into a welcoming and close-knit work community.Â Â The incumbent will have to be able to juggle several tasks at once, be able to prioritize based on departmental goals, have exceptional organizational skills, welcome change, and learn while doing.Â Â
The USC Department of Psychiatry and the Behavioral Sciences is a fast-growing, dynamic, diverse, and supportive environment with opportunities for growth. This position will perform varied administrative, general office, and project management duties for an academic or administrative department that may include the following:
Organizes and expedites flow of work through supervisor's office and/or administrative department. Initiates follow-up action. Serves as resource to others on departmental and university procedures or in the resolution of moderate to complex problems or issues. Interacts with university offices and/or supervisor's subordinates to facilitate communications and information exchange.
Composes and produces a variety of business correspondence, reports, confidential documents and/or forms, and related materials or guides the work of other staff who produce these materials. Reviews and signs, as authorized.
Coordinates department public relations, marketing, and recruitment functions, as assigned, such as special events, conferences, seminars, etc. Arranges with vendors for sites, facilities, catering, guest accommodations, etc. Coordinates production and/or distribution of promotional materials.
Researches and gathers data for departmental reports. Conducts preliminary analysis of data. Recommends report content and format to display findings most effectively.
Assists in budget preparation by gathering historical data in a limited area, such as materials and supplies or salaries. Tracks and monitors assigned budget expenditures and/or special actions and reports on variances. Provides projections, as requested.
Screens and prioritizes incoming communications, determining what contact or action is required for satisfactory disposition. Responds to inquiries or requests for information or refers to supervisor, as appropriate.
Maintains unit or departmental database and related records. Enters and/or verifies database transactions. Provides technical support and design of enhancements.
Provides project coordination and management in varied settings across the department and clinical sites including, but not limited to policy and procedure development and tracking, and moving forward department priorities related to technology and medical record enhancements.
Provides calendar/schedule management to 3-5 administrators, coordinates and schedules calendar invites, prepares agendas and takes meeting minutes.Â Â
Support clinical leadership to manage and improve clinical operations across the Keck Medicine of USC enterprise.
Skills:Â Â Microsoft Outlook, Teams, Publisher, Word, Excel, data extraction, analysis, and presentation
Masterâs Degree â MPH, MHA, MSW or similar
1 year experience in healthcare, marketing/publicity, mental health services, project management or related fields
3-5 years experience in academic medicine or a clinic setting.Â Â Experience working with patients undergoing mental health treatment or in a case management setting.
Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum educationMinimum Experience: 3 yearsMinimum Field of Expertise: Secretarial or specialized clerical and administrative experience
