The HUB serves as the center of the UW community life, and complements the student experience through an extensive variety of cultural, educational, social, and recreational programs. These programs provide the opportunity to balance course work and free time in the Husky Experience.

This position serves as the primary liaison for all meeting, event and conference services that take place at the Husky Union Building. It provides day-to-day programmatic management and strategic responsibility over the HUB Event and Information Services Program, which includes Reservations & Event Services, Ticket Office, Campus Lost and Found, HUB Information Desk, and the Use of University Facilities program.
Advising campus & off-campus organizations in space utilization and event planning The reservations and event services program serves as a major event planning resource for the campus and off-campus community. This unit provides counseling and guidance in terms of venue management/operation performing the functions of an event planning consultation group. In addition, the staff provides a holistic and one-stop event-planning service to over 700 of the 1,000 registered student organizations on campus, university departments and organizations as well as off-campus community who host the 8,000+ meetings and events in the HUB.
Staff supervision: hiring, training, evaluation 7 full-time staff and 85 student employees •Provide strong leadership while supervising the Manager of Event Reservations, Event Services Operations Supervisor, the Office of Special Programs, and four additional next level full-time staff. •Develop and implement comprehensive annual student employee program for HUB Service Programs that includes orientations, ongoing training, leadership development, recognition programs and other educational opportunities. •Assist in the management of the HUB Student Employee Orientation and related service recognition programs. •Develop a leadership program to promote students within the units for increased responsibilities and duties.
Budget and Finance •Budget manager for EVIS unit. Preparation, documentation and forecasting of a departmental revenue and expense budget totaling more than $1M. •Review income and expense reports and develop changes and adjustments as necessary. •Work closely with the accounting staff on cash handling, credit card processing and invoicing practices and policies.
Interpret, manage, maintain, and assess event policies and procedures This position is responsible for providing interpretation of HUB policies and procedures to all customers related to meetings and events. Often this involves providing information regarding University & State policies that the HUB’s policies are based on. Many events require examination and possible consultation regarding legal requirements for facility use, risk management, political activity, and alcohol service. •Conduct quarterly and annual reviews of internal operations structure, staffing, policies and programs to optimize services and to develop strategic plans and direction for the HUB Service Programs. •Continually re-evaluate and re-assess best practices to meet the emerging needs of the campus and HUB clients.
Department Executive Leadership •Member of the Director’s Executive Leadership Team engaged in department-wide decision making regarding strategic planning, budgeting (overall $6M budget), and policy development/interpretation/enforcement. •Co-Leads one of the department’s strategic planning activation teams. •Responsible for all sub-units and staff coordinators under the EVIS Program including Reservations, Event Planning, Event Operations, and the UW Office of Special Programs. •Ex-Officio member of the HUB Board of Representatives.
REQUIREMENTS: •Bachelor’s degree in business, public relations, performing arts, or related field and 4-5 years of related experience. •Knowledge of and experience in event planning best practices. •Experience planning and implementing both small and large-scale events and/or designing and operating technical aspects of large-scale events. •Experience that demonstrates - Financial strategies and effective budget management. - Ability to supervise full-time and student staff. - Strong interpersonal and customer service skills; ability to work with multiple clients on high-profile events. - Excellent administrative, organizational and problem-solving skills. - Ability to work effectively in teams, and collaborate with diverse stakeholders. - Ability to exercise good judgement in managing a high volume of events, multiple tasks and competing priorities in a fast-paced environment. - Technical understanding of processes and systems. - Ability to work independently and take initiative. - Commitment to continuous improvement. - Clear and concise written communication.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED EXPERIENCE •Master’s Degree in an educational discipline or performing arts. •Experience working in a higher education setting or conference center •Extensive customer service experience in a diverse environment. •Supervision of multiple employees in different units including experience with hiring, conducting evaluations, corrective action, and discipline in a contractual labor environment. •Experience using event scheduling software such as EMS.
