Normal Work Schedule: Monday - Friday 8:00am to 4:45pm
Job Summary: Under moderate supervision, performs general office, administrative and secretarial duties with some variety and complexity. Follows generally prescribed procedures using limited judgment. Typical duties may include receiving, screening and routing telephone calls, mail and visitors, arranging itineraries/agendas, setting up and maintaining files (database and/or hardcopy) typing a variety of material, preparing purchase requisitions, miscellaneous disbursement vouchers, departmental transfer authorizations, travel expense forms, compiling data and preparing reports, maintaining inventory and purchasing office supplies and materials, maintaining budget records, and acting as daily liaison to other offices. Position may supervise student workers or other clerical staff.
Additional Department Summary: This position provides operational support for the Aerospace Engineering and Mechanics department. Perform secretarial duties with some variety and complexity, including reserving rooms for seminars, meetings, and prospective student visits, utilize a variety of software. This position also processes the majority of the purchasing paperwork for the department along with travel arrangements for faculty, seminar speakers, faculty candidate visits and students.
Required Minimum Qualifications: High school diploma or GED and two (2) years of general office experience; OR Associate's degree or higher.
Skills and Knowledge: Working knowledge in the usage of personal computers and standard application software (Outlook, Word, PowerPoint, Excel). Good organizational, communication and public relation skills.
Preferred Qualifications: Previous experience with UA operating software programs, including Banner, Astra, Fire Engine Red, and knowledge of UA's purchasing and travel policies and procedures. Experience with purchasing which includes reconciling credit card statements in Concur and processing purchase orders in buyBAMA.
