The Program Assistant is a key member of the Donor Relations team and provides support to Advancement Services and Annual Giving. This is a dynamic role that assists with a variety of functions including, but not limited to, the preparation and support of communications, planning and support for meetings and events, and day to day support of functions tied to Donor Relations. The position reports to the Senior Director of Donor Relations.
Essential Duties and Responsibilities:
Maintain a professional and welcoming office environment as part of the Donor Relations, Advancement Services and Annual Giving teams by welcoming visitors, answering calls and directing specific requests to the appropriate office or staff
Assist with the planning and execution of Donor Relations, Annual Giving and Presidential events (limited weekend and evening hours may be required)
Coordinate monthly stewardship mailings of First Time Donor packets, 1889 Society Welcome packets, and Elon Society Welcome packets
Assist in the coordination of mass mailings with key partners on and off campus (Annual Giving, University Communications, mail houses, printers, etc.); ensure accuracy in mailing lists and product fulfillment; provide decision-making information regarding timeliness, cost and appearance
Assist declined credit card and recurring gift programs in coordination with Gift Processing and Annual Giving teams; assist with retention of recurring gift donors; maintain and update systems while tracking results
Enter and update information in The Raiser’s Edge as projects require
Assist with the preparation of stewardship and presentation materials for major donors
Maintain the calendar for the Senior Director of Donor Relations and schedule appointments as needed
Assist in management of the Donor Relations budget; monitor and reconcile expenses Process purchase, work, print and catering orders; maintain financial records
Manage procurement card expenses and allocations for the Donor Relations team
Assist with event and travel plans
Prepare check requests
Participate, as needed, in special department projects
Attend and participate in staff development opportunities
Other duties as assigned
Excellent computer skills are required.
The Program Assistant must be highly organized and efficient, with the ability to balance multiple tasks and responsibilities; demonstrate good judgment and attention to detail; show strong written, oral and interpersonal communication skills; and work well both independently and as part of a team. The program assistant will have a good understanding of the importance of fund raising and public relations and must respect the confidentiality of donor records/information.
