The Customer Service Representative serves as the primary liaison to the university community for Facilities Management (FM) services through FM’s Computerized Maintenance Management System (CMMS), customer service phone line, email, and website. The selected candidate will provide professional and accurate customer service to the requesting departments, ensuring work orders are entered in a timely manner. The Customer Service Representative is responsible for the data entry and status of over 8,000 work orders and over 500 projects annually, routing emergency and routine maintenance work orders to appropriate craft service areas and helping facilitate scheduling and completion times. Additional duties will include: -Tracking outstanding work orders, following up with delays in completion, and closing work orders when labor is completed for accurate performance reporting. -Assisting with maintaining Planned Maintenance (PM) Schedules and responsible for generating PM work orders based on those schedules. -Maintaining the list of active budget purpose numbers cross-referencing FMs CMMS with updated lists from Accounting. -Assisting with additional maintenance within CMMS but not limited to space data information, building information, equipment information, task codes, etc. -Maintaining and updating all manual and electronic work order and project files per university records retention guidelines and department procedures.
