The Manager of Operations and Enrollment Services supports the enrollment and retention services provided to students from their initial enrollment at the Fu Foundation School of Engineering and Applied Science (SEAS) through their graduation, providing a seamless transition into the school and progress through the degree. The incumbent will develop and implement a strategy to engage Post Docs at the SEAS. This position works in tandem with the academic programs, student life, and data teams to carry out the goals of the unit.
(20%)Perform student services functions including assisting students with registration questions/processes; add/drop procedures, graduation information and basic student application questions. Processes program concentrations for students. Supports Graduate Student Life team in communicating academic deadlines to the school. Follow up with students on outstanding academic questions, concerns, or deadlines. Provide resources and referrals to students who are experiencing academic challenges. Assist with presentations for academic procedures, workshops, Orientation activities, Open Houses, and other departmental and student activities as assigned. Research and advise best practices initiatives to bolster the enrollment services experience. Develop and maintain an academic FAQ for incoming and continuing students.
(25%) Supports the programming efforts of the graduate student team geared towards effective retention of students through their academic programs and provides academic support to students and departments in ensuring accurate and up-to-date information on enrollment and student engagement. Works with graduate student life team on administration of online tutorials and resources pertaining to resources such as Academic Integrity, OULâ€™s Community Citizenship Initiative, EOAA, and SVR. Manages tutorial set-up within Canvas and reporting of scores and related registration holds.
(20%)Student Affairs and Academic Administration â€" Manages academic operations of the Office of Graduate Student Affairs including serving as the first point of contact for current students, faculty, and other office visitors; advising various constituents about school and university policies and procedures; responding to variety of student related inquiries; reviewing and processing change of status, notice of withdrawal, leave of absence, registration, and other academic related requests; demonstrating a thorough understanding of the academic processes and regulations of all graduate engineering and applied science academic programs to provide appropriate advice to students, faculty, and administrators; working collaboratively with academic department administrators, faculty, and various university administrators to coordinate support for graduate students; developing and enforcing student affairs and academic policies in consultation with senior office leadership; conducting degree audits for graduation clearances, monitoring the academic performance of graduate students, assisting with disciplinary hearings; hosting housing webinars for newly admitted students. Preparing and submitting student documents to be reviewed and approved by Assistant Dean for exemption to academic and SEAS policies.
(10%) Responsible for all student communications, maintenance of accurate student listservs and updating to ensure easy access to varied forms of communication databases. Must have the ability to work with integrated systems and develop custom materials for online tutorials for onboarding of students and maintenance of records indicating completion of said tutorials.
(15%)Assists in data collection and validation and ensures accurate enrollment data for census and supervising the correction of any data errors. Assist with end user training and support on reporting tools where necessary. Create and generate ongoing data reports to support decision making and enrollment strategies. Develop and maintain ability to utilize data for effective analysis of admissions activities and enrollment communications.
(5%)Is a member of the student services on-call time to respond to student emergencies
(5%)Performs related duties and responsibilities as assigned/requested, including but not limited to: Assist with school- and university-wide events and programs. In conjunction with colleagues, promote diversity within the workplace and assist with carrying out equity, inclusion, and belonging objectives of the office. Carries out duties and assignments, as needed, by senior management. Provide support as needed within the Office of Graduate Student Affairs.
Bachelor's degree, a minimum of 2 years of experience in related fields such as web pages, chat, multimedia, online communities, email lists, instant messaging and other emerging electronic communication technologies. Excellent written and verbal communication skills. High energy level and interpersonal skills. Self-motivated with the ability to motivate others. Experience in computer applications, with the ability to generate and provide detailed reports on recruitment activities. Valid driver's license is required. Master's degree preferred. Admissions, student services, public relations, marketing or related background preferred.
Some evening and weekend work required.
Skills: Intermediate Excel (pivot tables, formulas), Canvas LMS (creating courses, grading assignments, downloading course data), Columbia SDR, SSOL, and SIS. Experience with marketing platforms such as Mailchimp and admissions platforms such as Slate.
