To provide professional, highly skilled administrative support service to relieve administrators of a number of organizational decisions and tasks. Responsible for varied administrative and financial support, correspondence, personnel matters, purchasing and complex level decisions while exercising initiative and independent judgment while following university policy and procedures. Perform work in ways that contribute to the university's successful achievement of enrollment goals.
Prepares complex correspondence, detailed reports and PowerPoint presentations. Manage internal communications (Email Blasts, Newsletters, etc.) using latest design techniques and creativity. Serve as Copy Editor on various documents. Provide support to the Executive Assistant, Associate Vice President and the Executive Director as well as other staff when needed. Performs routine tasks including answering phones and filing. Provide front desk support, which may include scheduling appointments utilizing Outlook and Zoom as well as opening and closing the office during regular business hours. Knowledgeable in preparing financial transactions in UT Share including but not limited to procurement cards, travel, processing of payments, purchase order and reimbursements, reconciling monthly Procard statements for EM staff and processing of timesheets. Serve as a backup timekeeper for all EM departments. Processes documentation and paperwork for position posting, screens applications and hiring candidates for vacant positions. Maintains confidential personnel files; updates compensation records in UT Share; maintains leave balances. Supervise Administrative Assistant I and several student workers including managing of daily work responsibilities. Manage large-and-small scale events including menu planning, facility reservation, cost tracking and RSVP's. Monitors office supplies, completes purchase requisitions for supplies and equipment, maintains inventory. Submits work orders for office repair and maintenance. Performs other duties assigned.
Bachelor’s degree. Two (2) years upper level secretarial experience or High School diploma with six (6) years of increasingly responsible administrative, secretarial and clerical or the equivalent experience.
Experience with UT Share/PeopleSoft. Excellent oral and written communication skills. Maintain high level of confidentiality. Experience in Higher Ed. Knowledge of and the ability to interpret University policies and procedures. Supervisory experience. Extended graphic design knowledge
