USCâs University Relations is seeking to hire a Senior Administrative Assistant to join its team.Â The position will report to the Vice President of Civic Engagement & Economic Partnerships. This multifaceted role provides highly complex administrative and executive support to include: managing schedules; handling details of a confidential nature; collecting information as needed for organizational documents and correspondence; and providing support on programs and activities.Â Conserves Vice Presidentâs time and represents the Vice President internally and externally with excellent customer service and professionalism.
Responsibilities include but not limited to:
Provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the executive's behalf
Maintain comprehensive and accurate records, documents and reports
Organize meetings, including scheduling, sending reminders and organizing supplies when necessary
Manage the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters
Using various software, including MS Office suite, Salesforce, Slack and university systems, prepare reports and/or special projects
Additional duties as assigned
The ideal candidate will possess the following qualities:
5 to 7 years of experience in supporting an executive in an office environment
Very professional demeanor and strong customer service as this position requires assisting with management of staff as well as interfacing with both the public and high-ranking officers of the university.
Strong organizational skills, including time management, understanding the big picture, and a strong ability to efficiently multi-task in order to keep pace with the various duties and special projects assigned.Â
Strong Microsoft Office (Excel, Word, Outlook) skills are required.
Experience working with USC's internal systems is desired.
