Under limited supervision, the Administrative Assistant will provide complex administrative support for the Center for Plastics Innovation (CPI), its Director(s), and affiliated faculty members.
Coordinate seminars series to include preparing agendas, making room and equipment reservations, advertising, catering, transportation, hotel accommodations, coordination of the visitors schedules, and coordination of expense reimbursements.
Prepare forms for hiring of personnel, acquisitions of equipment, and purchase of supplies including computers and software.
Manage calendars and e-mail distribution lists, prepare and send e-mail communications.
Design, create, and produce public relations material, newsletters, and annual reports in collaboration with center director and University Office of Communications.
Coordinate events and activities of the center to include the annual symposium, CPI Research Review (as needed), and CPI workshops.
Support the day-to-day administration of CPI, track and report on administration expenses to Center Director, and support financial project management, as required, in consultation with the Business Administrator.
Manage the undergraduate research program to include soliciting applications, sharing applications for faculty review, communicates with applicants and admitted students, provides students with support coordinating transportation, coordinates local events, coordinates student reimbursements, and provides administrative support for student surveys and project outcomes.?
Provide administrative support, as needed, for related sub-awards/centers. Track expenditures and assist with contract management.
Provide back-up support for the administrative team, when needed.
Perform miscellaneous job-related duties as assigned.
High school diploma or GED, Associates degree preferred, and three to five years of experience in an administrative support role.
Knowledge of the principles and practices of office management.
Ability to handle multiple assignments concurrently and to prioritize equally critical tasks.
Ability to analyze and interpret data.
Ability to make independent decisions.
Effective verbal and written skills. Ability to communicate and interact well with people of all ages and diverse backgrounds.
Ability to handle sensitive material and information confidentially.
High degree of proactive organizational skills.
Ability to use advanced techniques in word processing, spreadsheet, database and presentation software; desire to learn other work-related software as needed.
Event planning background and experience is beneficial.
Ability to work as a team player and provide support during events and/or activities when necessary.
