Performs a variety of purchasing tasks for Central Purchasing and Logistics, including transaction processing and auditing purchase orders. Prepares, expedites, and verifies all documents from outside vendors and other university departments. Prepares reports to assist in controlling operational expenses.
Responsible for the day-to-day ordering of food and supplies for all Dining Halls and HFS. Creates all purchase orders in CBORD - FSS to transmit to the vendors for food and supplies needed. Responsible for a wide variety of complex tasks related to ordering from several different vendors and then verifying dates of delivery. Audits invoices for accuracy and enters in data in CBORD - FSS to authorize payment to vendors.
Responsible for a wide variety of complex tasks related to reconciliation of accounts, balancing complex billings, and preparing financial reports to monitor activities on these accounts. Ensures timely payments are made to designated payees. Advises staff on IU Purchasing polices and ensures compliance with all policies. Prepares purchase orders and ensures sufficient funds for purchases. Monitors returns process. Determines reason for return and obtains authorization from vendor. Verifies product received by vendor and credit issued. Assists staff with delivery inquiries and procedures. Responsible for problem solving any and all issues or discrepancies that arise.
High school diploma or GED and two years of purchasing experience.
Proficient with computers (spreadsheets, databases, word processing software). Strong public relations skills. Ability to manage multiple tasks and priorities in a fast paced environment. Ability to effectively communicate and exchange information with a wide diversity of individuals/groups. Ability to maintain confidentiality. Ability to work well with students. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Two years of customer service experience. Experience with KFS and other IU systems.
