The Group Sales Associate expedites the processing of group sales for all major brands of the BSO, including Boston Symphony, Spring Pops, Holiday Pops, and Tanglewood. By facilitating the day-to-day flow of the department, the Group Sales Associate focuses efforts on ensuring that existing sales relationships, revenue, and programs are maintained. Although reporting to the Director of Marketing Programs and Group Sales, this position takes direction from the Group Sales Senior Manager to implement specific projects.
While implementing superior customer service skills, process group sales transactions for the BSO, Spring Pops, Holiday Pops, and Tanglewood seasons in a timely manner. This includes the following functions:
Answer phone, email, and other inquiries from potential customers
Process orders in Tessitura, allocating seats both electronically and manually
Prepare and transmit billing, monitoring due dates and payments for clients
Identify and resolve any customer issues, maintaining the highest standards of customer service at all times
Provide sales materials to group leaders as needed
Monitors payments and facilitates processing of all accounts receivables with the Business Office.
Maintain relationships with the existing full house/college night clients during the Spring Pops season. Coordinate with the Pops Management Office for implementing and executing contracts for these events. Refer clients to other department to facilitate all other needs of their event. Existing clients of this type include BU, Harvard, MIT and Tufts.
In coordination with other group staff schedules, represent the Group Sales Department at various tourism and industry-related tradeshows, as well as national and international conferences, to raise awareness of the BSO’s offerings to existing and potential new customers, tour operators and meeting planners. In most cases, these events require set-up of appropriate displays with distribution of sales literature, presentations and one-to-one meetings. Examples of such events include those offered by the following organizations: Boston Attractions Group, GBCVB, Friendship Tours, Yankee Trails/ATU Expo, Midwest Clinic, Berkshire Group Collaborative, New England Bus Association, Discover New England, American Bus Association, New England Bus Association, US Travel Association’s IPW Trade Show, Student Youth Travel Association, National Tour Association, and Bienvenue Quebec.
Manage Group Sales Website content. Ensure accuracy and update all program information, pricing, images and any other group sales assets and content.
With guidance from the Group Sales Senior Manager, implement marketing campaigns and produce materials for email, direct mail, advertising, trade show displays, surveys, and other sales materials as needed.
Provide suggestions and assistance to refine group sales policies as needed.
Assist in providing regular sales reporting utilizing Tessitura reports and Analytics. Analyze results from Tessitura, emails, advertising, and other marketing efforts, to ensure the most cost-effective use of funds, and determine changes for future campaigns.
Assist in coordinating, organizing, and attending group-related programs and events at Symphony Hall and Tanglewood, and attend internal meetings and concerts as needed to represent Group Sales Staff.
For Group Sales clients who are interested in utilizing other offerings within the buildings, liaise with the Event Services Department to ensure function space and catering needs are met. Also refer group sales clients to other BSO departments as needed including Orchestra Management, Development, Marketing, Corporate Partnerships, and Education and Community Engagement.
Facilitate administrative duties such as coordinating office supplies, filing, materials inventory, maintaining office calendar, etc.
Internally: Box Office, SymphonyCharge, Event Services, Security, Marketing/Design/Web team, BSO and Pops Orchestra Management, Concert Operations, Corporate Partnerships, Education and Community Engagement, Development, among other departments within the BSO
Bachelor’s degree or higher with at least 3 years of experience in sales/marketing/tourism/customer service or arts administration preferred; music background helpful, but not essential
Superior customer service skills required with the ability to understand customer needs and translate them
Ability to work independently, as well as collaboratively, across internal departments and with outside contacts, in a fast-paced environment
Detail oriented mind-set who has a polished, professional demeanor
Highly computer literate with proficiency in Microsoft Office; experience with Tessitura or other ticketing software a plus
A team player who is willing to provide support where needed
