To provide administrative and clerical support to the Music Department, History and Political Science Department, and Center for Global Initiatives including relevant Chair, faculty, and students.
Duties and Responsibilities:
Works with Chairpersons in preparing academic program documents, and catalogs.
Prepares programs, flyers, electronic newsletter, tickets for Departments' concerts, and work with University Press; secure venues for Departments' classes, concerts & events.
Maintains, and updates the organization of department webpage in a manner that is appealing to targeted audience,
Manages ongoing presence via social networking sites including Facebook, Twitter, and other similar community sites, posting on relevant blogs, and seeding content into social applications as needed.
Handles direct Departments mailings for concerts, workshops, prospective students, and applied faculty. Keep mailing lists up to date and accurate.
Performs general office work (eg., scanning/document imaging, answering phones and questions, filing, ordering supplies).
Other Duties and Responsibilities:
Requests and coordinates the appropriate venues and logistics for Departments' concerts.
Performs other job-related duties, as assigned.
Understanding of academic procedures including faculty, students, course offerings, and schedules.
Good working knowledge of office policies, procedures, and practices.
Intermediate to advanced level of working knowledge of computers and Microsoft Word, Excel, software applications, as well as sufficient working knowledge of other software applications, as needed (web page editing, social media)
Abilities and Skills:
Ability to do moderately difficult office and clerical work with speed and accuracy.
Effectively organize, prioritize, and handle multiple tasks to meet established deadlines.
Analytical, detail-oriented, and accurate.
Able to interact effectively with a wide variety of people.
Accurate and sufficient typing speed.
Accurate and sufficient dictation speed.
Good public relations and negotiation skills.
Strong organizational and prioritization, oral/written communication, interpersonal, and basic mathematic skills.
Some college education preferred.
A minimum of 2-3 years of clerical experience working in a public relations/school service environment, or an equivalent combination of education and experience.
Previous experience with budgets is desired.
