The Evening Circulation Associate is responsible for all Circulation Services during the evening and weekend hours.
ESSENTIAL JOB FUNCTIONS
Manage, supervise and provide leadership (for 10 or more student employees), planning and guidance for daily operations of Circulation Services including the Circulation Desk, Reserves Collection, Fines and Fees, Audiovisual Collection, and Stack Maintenance.
Reconcile and balance daily deposits in cash, checks, credit cards, and Raider Card transactions.
Prepare nightly cash deposits. Verify cash register and change fund totals.
Process deposits for Cashier’s Office and Accounting. Reconcile petty cash. Access, coordinate and monitor access in/to vault/safe.
Coordinate accounting records and determine lost fees for overdue materials, fines, and replacement costs for lost items.
Hire, train, schedule, and evaluate student employees.
Assist in the management of Student Assistant funding and budget of $53,000.
Serve as a “Building Steward” during evening hours including coordinating with campus police, facilities, and GRCC staff to maintain a safe comfortable environment in the Learning Center.
Coordinate with Legal Council in arranging events, contracts and legal documents with guest speakers, presenters and services.
Support all aspects for programming and events in association with budget, catering, AV support, waivers, and payment requisitions.
Manage Circulation Department operations.
Interpret, recommend revisions and enforce all Circulation Services policies and procedures.
Lead and participate in projects that involve Sierra, Circulation and Access Services.
Master all aspects of the Sierra Circulation module and navigate the Sierra automated library system for serials and interlibrary loan.
Collaborate with the Director of the Library and Learning Commons in purchasing library items on the GRCC Procurement Card.
Inventory and update course reserve information ensuring copyright compliance.
Notify GRCC faculty and staff when requested items are processed and ready for use.
Utilize the Campus-wide Information System (CWIS) for patron information downloads and placing/removing appropriate patron service indicators. Manage paid fines and remove academic holds daily.
Assist patrons with equipment and communicate operational issues.
Manage and resolve customer service needs and complaints. Refer patrons, in person or via phone, to appropriate departments within the LLC and College.
Coordinate and supervise opening and closing of the library, document procedures for staff
Draft minutes for monthly staff meetings.
Oversee stack maintenance of library materials.
Responsible for the inventory of the circulating collection in the LLC.
Partner with promotional vendors including evaluation of vendor performance.
Contribute updates for the Access Services Team manual.
Contribute to LLC public relations and marketing initiatives.
Adhere to GRCC Service Excellence Guidelines.
Order supplies for library staff members and oversee supply shelf usage and maintenance.
Using Drupal, post faculty absences to mail and website on Saturdays during the Fall and Winter semesters.
Design and prepare fliers, bookmarks, service signage, and brochures.
Update LLC Student Assistant Manual and other written documentation.
Document, report and verify all payroll time for student staff for additional pay for all library faculty when needed.
Execute database queries in PeopleSoft. Periodically download and reorder data fields for staff/faculty, credit and non-credit students for importation into the Integrated Library System (ILS). Correct data errors and rapid update records to reflect current staff and students when needed.
Communicate with Student Employment Services (SES) and follow appropriate steps for job posting, interviewing, hiring, scheduling, referrals and evaluating student assistants.
Act as liaison between SES and student assistants interpreting administrative/college policies and procedures, the Student Employee Handbook and payroll to them.
Receive book and audiovisual donations and process according to the Gift Materials Policy.
Register new patrons and update existing records.
Contribute to the information content of the Library and Learning Commons’ Web site.
Convene and co-facilitate the LLC Access Services Team monthly.
Create and update brief bibliographic records for reserve materials according to established parameters using MARC format.
Assist patrons and staff in locating materials in reference, circulating collection, reserves, and audio-visual areas of the library. Check shelves for lost, missing, overdue books and audiovisual materials.
Support the GRCC and LLC student-centered mission, vision, values, and ends.
Collaborate with Michigan library partners, technical staff from Innovative Interfaces, LLC staff, and the Library of Michigan to determine effective system parameters for our shared catalog, MeLCat.
Participate in LLC strategic planning, policy development, customer service assessment, and department organization discussions.
Troubleshoot basic technology problems and provide preliminary support for library and instructional technology, (i.e.: microfiche/microfilm reader/printers, photocopiers/printers/scanners, computers, ADA stations, Internet services, online databases and various software).
Stay up-to-date with new technologies and academic library trends, continually assess and improve the circulation process.
Circulate library materials to patrons, e.g., check-out, check-in, claims returned, and ILL materials.
Run queries, compile reports and analyze data to prepare statistics for Director of the Library and Learning Commons, U.S. Department of Education Survey of Academic Libraries, ALA Association of College & Research Libraries, and Michigan Academic Library Council statistics and reports.
Prepare reports using Integrated Library Software and Microsoft Excel on circulation services and building use, Shelving, lost/paid, missing, claims returned, inventory, internal hold requests, clearholdshelf.
Run library student employee orientation and training sessions.
Regular attendance during normal schedule hours is required. Being present is essential for serving customers and performing the essential functions of this position.
Other duties as assigned by the Director.
MARGINAL JOB FUNCTIONS
Assist with the periodic data purge of obsolete records, mostly course reserves, in the ILS.
Provide Circulation service data upon request.
As a member of the Access Services Team, manage Periodicals and Interlibrary Loan services in the absence of the area specialist.
In absence of Serials Specialist input all scheduled appointments from LibCal for library instruction classes through 25Live.
In the absence of Interlibrary Loan Specialist, use digital document delivery, Tipasa, and MelCat, to borrow and lend to other libraries.
Associate’s degree required.
National Career Readiness Certificate (NCRC) preferred, but not required.
Three years library experience.
Experience with an automated circulation system, preferably Innovative Interfaces.
Supervisory experience preferred.
Familiarity with all phases of library operation.
Demonstrated experience working independently and collaboratively within a diverse setting, organizing own work while coordinating and supervising the work activities of others.
Demonstrated flexibility in work schedule.

Finalists will be required to complete an office testing module and meet minimum standards, plus possess excellent proofreading skills and have aptitude for detail work. An in-basket assignment may be required.
