University Advancement, UW Library has an outstanding opportunity for an Advancement Outreach Officer.
POSITION PURPOSE Design, develop and implement comprehensive communications and events plans for Libraries Advancement. Design, create and produce communications materials that steward and support donor development. Coordinate events (e.g. campaign and annual) and support activities to further UW Libraries Advancement initiatives. Report to UW Libraries Assistant Dean for Advancement. Collaborate with Libraries Communications and other Libraries staff.
DUTIES AND RESPONSIBLITIES Communications and Donor Development (40%) Develop and implement comprehensive communications plan for Libraries Advancement, overseeing, producing and aligning donor outreach materials with Libraries strategic priorities and UW branding pillars (e.g. case statement, brochures, web, videos, presentations and social media, and fundraising materials). Generate appropriate, timely and accurate information for communication to internal and external Libraries donor audiences.
Lead and oversee all Libraries Advancement Marketing communications, developing and generating content to feed directly into electronic, web, print, social media, graphic design and video communication materials that effectively leverage Libraries Advancement efforts.
Create and execute publicity plans and social media to promote Libraries Advancement events and donor-development activities. Coordinate with UW Press Advancement Communications, as needed.
Align donor development toolkit with University Marketing Communications standards.
Create content and distribute communications materials, including Friends of UW Libraries quarterly E-news, event and collection spotlights, and donor stewardship reports (e.g. Allen Report, CEF, donor wall). Coordinate with Libraries Communications Director and UMAC on major gift announcements and donor stewardship reports (e.g. Allen, EAL, etc.).
Expand Libraries storytelling initiative. Incorporate key stories that reveal how the Libraries creates boundless opportunities for student success, great faculty teaching and local-to-global research that results in doing a world of good and impacting lives. Work with LGO to message stories in appeals and stewardship reports.
Lead, coordinate and update Libraries Advancement web pages to enhance audience development, including stewardship initiatives (e.g. “Spotlight Stories”, “I love UW Libraries”, “Gift Wish” pages), highlighting involvement of donors, sponsors and other gifts to Libraries.
Design, purchase and order promotional materials.
Exercise independent judgment in developing relationships with current or potential campus partners (e.g. UWAA), volunteers, donors, Libraries staff, alumni, corporate supporters and students.
Events and Fundraising (50%) Develop, manage and execute annual events plan for Libraries Advancement, focusing on activities that attract/encourage friend-raising, fundraising and major initiatives.
Produce all Libraries Advancement events, including 1 major fundraising event and additional donor and Friends events (12 per year). Team lead for Libraries Unbound (formerly, Literary Voices) and cultivation events (e.g. Dean’s Circle, donor cultivation events, deep dives, endowed lectures (Artist Images/Maxine Cushing Gray), Dawg Days in the Desert, Dawg Dash, and involvement with Family Weekend, etc.).
Provide outstanding customer service to event guests. Serve as liaison to guest speakers and ensure data from events is in sync and updated in Advance database.
Works with Advancement team to ensure clarity of messaging in donor outreach/communications materials.
Responsible for financial monitoring of expense-revenue reports for events.
Stage manage events, including author speeches for Vice Provost and Dean of University Libraries and Assistant Dean of University Libraries, Advancement, provide tech support and provide training colleagues, volunteers and student workers as it related event production.
Other duties as assigned (10%) Perform other related duties as assigned.

Although position reports to Assistant Dean of University Libraries, Advancement, individual will work with and request information from the entire staff throughout Libraries, in addition to Advancement team.
Plan and direct the work of volunteers, freelance writers, designers, students and Libraries staff.

REQUIREMENTS Bachelor's degree in and two to three years of experience in event planning, development, public relations, alumni relations or related field. Equivalent combination of comparable knowledge and skills may substitute for education and/or experience.
Superior writing and editing skills, particularly for audience development and/or philanthropy. Demonstrated ability to write in a style and voice suitable for different audiences, as the position will require writing for the Dean, Libraries staff and volunteers in a manner that provides engaging news stories for the general public, compelling promotional and philanthropic pieces for alumni and donors, as well as the possibility of nuanced position papers and proposals for legislators and targeted community stakeholders.
Demonstrated experience in managing website design, editing and management.
Strong project management skills. Ability to problem-solve, take initiative, set priorities, handle multiple projects, and exercise good judgment in a fast pace, dynamic, deadline-driven environment.
Excellent communication and interpersonal skills to establish and maintain cooperative working relationships within and outside the Libraries, including Libraries staff, faculty, students, donors, alumni, corporate and foundation representatives, and UW colleagues, as well as community and professional stakeholders.
Ability to plan, direct and monitor budgets.
Proficiency with personal computing environment, Microsoft Office Suite (Microsoft TEAMS, Word, Excel, Outlook and PowerPoint), email-marketing systems (Marketo, etc.), UW Finance system, and the Internet.
Knowledge and use of the Constituent Relations Management systems (CRM)
Knowledge of alumni relations/development/advancement principles.
Demonstrated strong computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint for correspondence, special reports, spreadsheets, databases, forms, etc.
DESIRED Fundraising or alumni relationship experience in higher education setting.
Knowledge of the integrated advancement model. Knowledge of libraries/development/advancement principles.
Experience with publishing and image editing software. Photography skills a plus.
CONDITIONS OF EMPLOYMENT Cubicle/Open workspace environment which may result in additional or higher levels of noise and visual distractions.
Ability to lift 20 pounds regularly and up to 40 pounds occasionally for event setup and tear down.
