Reporting to the Department Chair of the Mechanical Engineering Department (MECH-E) in The Fu Foundation School of Engineering and Applied Science (SEAS), the External Relations and Events Manager is a primary point-of-contact and liaison for external partners in academic, industry, and other MECH-E network of contacts and orchestrates Public Relations campaigns for the department, Colloquia, Seminars, guest speakers, special events, site visits, etc., including all related publicity, travel arrangements, and reimbursements. The incumbent serves as the Department's website coordinator, maintaining and updating its content on an as-needed basis. The incumbent provides high-level managerial and administrative support for the Chair including the scheduling and organization of faculty meetings as well as meetings with national and international research scientists; receipt, review, and appropriate disposition of correspondence; use of independent judgment and initiative in drafting replies to such correspondence; compilation of data and reports; maintaining status updates on various departmental projects; management of domestic and international travel arrangements, and other related duties. The incumbent will maintain a detailed and extensive calendar of all departmental events and activities, including student events and activities, administrative events and activities, alumni events and activities, as well as faculty events and activities.
( 30%) Under direct supervision of the Chair, manages departmental communications and planning, including for the External Advisory Board (EAB). Functions as a primary point-of-contact and liaison for the Department Chair with external partners in academic, industry, media, and other entities. Drafts, edits, proofreads, and coordinates the dissemination of information within the MECH-E network of contacts. Updates directories, manages and takes ownership of rosters, and is responsible for maintaining mailing lists in coordination with DA and administrative staff.
(30%) Under direct supervision of the Chair, plans, evaluates expenses, orchestrates, and otherwise coordinates Public Relations campaigns for the department, Colloquia, Seminars, guest speakers, special events, site visits, etc., including all related publicity. Coordinates with the Chair and departmental faculty to support the national and international promotion of the Department research and academic accomplishments and to increase the visibility of the Department across peer institutions, government, and industry. Manages meetings and travel arrangements for visiting scientists, and CU personnel. Responsible for all program and event publicity (written and electronic formats), and outreach activities, including Department Newsletter.
(25%) Provides high-level managerial and administrative support for the Chair and the overall day-to-day departmental operations. Manages the scheduling and calendar of the Department Chair; coordinates and organizes faculty and staff meetings; receives, reviews, and makes appropriate disposition of correspondence; uses independent judgment and initiative in preparing draft replies to such correspondence; compiles data and prepares reports as assigned. Coordinates logistics, data collection, drafting and assembly of materials, and other administrative support for faculty searches and tenure/promotion.
(10%) Serves as the departmental website content coordinator: maintains and updates faculty, staff, student and program information on a regular basis, collaborates with Dean's office for website design and website coordination with other School departments and divisions, collaborates with internal stakeholders including PIs, Systems Administrator, and Student Affairs Manager to optimize the delivery and content of web-based resources. Provides general ad-hoc support for transactional financial activity within the department, using the University's central systems (ARC, A/P), procurement card and internal ME departmental systems.
(5%) Performs other duties as assigned.
Bachelor's Degree and/or its equivalent required. Minimum of two to four years related experience.
Previous experience in Executive-level support roles and/or communications focused roles. Strong organizational, communication and interpersonal skills required.
Must be able to work independently and exercise good judgment and discretion, and to prioritize and manage multiple tasks. Financial aptitude necessary. Knowledge of personal computer systems; webpage, word processing including spreadsheets necessary.
