Reporting to the Assistant Director of Academic Affairs, the Academic & Communications Outreach Coordinator works as part of the Academic Affairs team in the Department of Social & Behavioral Sciences. The Academic & Communications Outreach Coordinator has primary responsibility for the department's communications portfolio as well as relationship building with students, faculty and academic appointments to effectively promote their work and increase the visibility of the department's research activities. Additionally, the Academic & Communications Outreach Coordinator will be responsible for the planning and execution of academic events, establishing and developing relationships with student cohorts, communicating policies and procedures and department resources that are available to students. The Academic & Communications Outreach Coordinator also serves as the Program Coordinator for the Cancer Prevention Fellowship.
Additional duties and responsibilities include, but are not limited to, the following:
Serves as the Webmaster for the department website, SBS faculty websites, and the Cancer Prevention Fellowship website
Writes and manages the department's internal and external communications including the website, quarterly e-newsletter, weekly student email digests, academic-related flyers, and PowerPoint presentations for department orientations.
Identifies and interviews students, faculty and postdocs for spotlight features. Updates website newsfeed and carousel with recent news and events
Maintains mailing lists in Outlook, Constant Contact, Paperless Post and MailChimp
Collaborates with the department's management on communications priorities
Promotes events and seminars to the department and School-wide community through communications channels such as Student News, plasma screens, Student Digest and quarterly newsletter
Plans and executes departmental academic events and activities such as, but not limited to, new student orientation, prospective student open houses, admitted student day, student seminars and gatherings, doctoral and other exams, and commencement. Reserves classrooms and conference rooms for student events, labs and TA meetings
Assists the Assistant Director of Academic Affairs with academic administration duties such as course management, enrollment, and the hiring of teaching assistants and course assistants, degree audits, and tracking student benchmarks
Assists in managing the admissions process by assigning faculty reviewers in admissions portals, tracks rankings in Excel, and prepares materials for faculty review meetings
Provides administrative coordination for the Cancer Prevention Fellowship, including tracking application materials and disseminates applications for review, working collaboratively with the grant manager in assisting Principal Investigator with the preparation of progress reports and competing renewals, and managing data for reporting and independently prepares training grant tables
Collaborates with academic affairs staff on updating academic materials including curriculum guides, tracking sheets, advising guide, and policies and procedures guide
Performs updates to student records in my.harvard such as advisor assignments and graduation status
Other duties as assigned
