The Administrative Support Specialist in the Indiana University School of Medicine (IUSM) provides an exciting opportunity to deliver executive level support and coordination for the Assistant Dean for Academic Advising as well as the Assistant Dean for Career Mentoring with secondary support to the Associate Director of Career Mentoring, Lead Advisor Team, College and House, Student Life and Service-Learning activities.
As an integral part of the Medical Student Education team the Administrative Support Specialist will be responsible for special projects, information gathering, generating high level reports and documents, coordinating calendars, programming events, coordination of travel arrangements, purchasing, reimbursements, tracking budgets and assisting with fiscal processing and direct student group support. This position may also provide administrative support to one or more additional Assistant Dean(s) within Medical Student Affairs to include meeting organization, calendar management, travel arrangements and project assistance as needed.
The successful candidate will have a keen attention to detail, exceptionally professional verbal and written communication skills, and the ability to provide quality service in a fast-paced and rapidly changing environment. They will possess a demonstrated track record of successful executive level support, as well as a proven ability to manage projects independently while maintaining an understanding of key organizational initiatives and priorities.
An approachable service-oriented demeanor, the ability to build and maintain collaborative relationships, and professionally communicate with individuals at all levels of the organization is essential.
High school diploma or GED and three years of related administrative experience.
Proficient with Microsoft Office including Outlook, Word, Excel and PowerPoint. Comfortable communicating through multiple methods, with a high attention to detail and prioritization and coordination skills. Position will work directly with the public including students, faculty, department chairs and other Deans. Knowledge of academic institutions, student policies including FERPA, human and public relations, as well as office methods and practices. Knowledge of University systems helpful (KFS, Purchasing, Travel and Canvas).
Bachelor degree. Experience in higher education and/or a medical setting.
