The Cradle seeks a full-time Special Events & Volunteer Coordinator to execute all Cradle special events and volunteers. Reporting to the VP of Development, this position is responsible for coordinating all fundraising events, ranging from mid-sized community gatherings to large-scale galas. These events include but are not limited to: A Night for the Nursery, Rock the Cradle and A Day at the Races. Events also include Cradle Connections gatherings designed for Cradle Families such as the Cradle Family Picnic, Open House and the Cradle Holiday Party. The role also requires the coordination of Cradle Alumni Reunions (potentially regionally) and engagement with future alumni chapters.
Event fundraising management: Execute fundraising strategies on an annual basis to increase revenue and reduce expenses related to special events. Secure and coordinate all appropriate contracts, permits and licensing, manage materials, supplies and signage needed for event production.
Budgeting and project management: Create and adhere to project budgets and timelines. Utilize Raisers Edge to track and collect funds raised, monitor progress of registration, ticket sales and income goals and adjust plans as appropriate. Work with the VP Development to create income and attendance projections for events. Conduct post-event follow up and action steps. Keep accurate records and comparison charts for every year. Work with Cradle Finance to reconcile all events.
Committee Staffing & Support: Staff all event committees. Provide timely and accurate reports for event chairs and committee members. Work with the VP of Development to recruit committee members and actively engage them in events.
Sponsorship: Execute sponsorship strategies defined by the VP Development to support all events. Help identify potential in kind sponsors to supplement and enhance event day needs.
Event communications and public relations: In coordination with the Marketing Manager develop and fine-tune strategic communications and marketing strategies for special events and programs. Actively work with the Marketing Manager in the creation of print and web-based materials to enhance fundraising efforts.
Volunteer Coordinator: Serve as The Cradle’s lead in implementing, strengthening and overseeing the agency’s Volunteer Program. This includes volunteer recruitment and retention for Cradle Connections events.
Manage Vendor Relations: Effectively manage vendor relationships to ensure ongoing support and participation for all Cradle events.
Data entry: Responsible for the timely and accurate entry and updating of sponsor information, in-kind vendors and volunteers into Raiser’s Edge.
Overall responsibilities: Foster strong working relationships with board and event committee members, donors, volunteers and staff.
Ongoing contribution to the strategic long-term vision of The Cradle through suggestions for innovation and efficiencies in event and fundraising programming.
Critically evaluate events to determine if they are effective. Be prepared and willing to make recommendations for improvement where necessary.
Investigate industry trends and new ideas for future fundraising initiatives and existing events.
Contribute to The Cradle’s communications as needed.
Attend committee meetings and programmatic events as applicable.
Other duties as assigned by the Development Manager and VP Development.
Must possess ability to interact professionally with donors, visitors, vendors and internal staff.

Bachelor’s degree, with a minimum of 2-4 years of experience in event management and fundraising, preferably with a nonprofit organization.
Proficiency with Raiser’s Edge or other fundraising software.
Strong analytical thinking, problem solving and communication skills (both written and oral) with a demonstrated attention to detail and strong organizational skills.
Proven ability to successfully handle multiple projects, meet critical deadlines and work independently, as well as part of a team.
Possess an ability to interact professionally with potential donors, participants, external vendors, volunteers and board members.
Must be resourceful and creative with a commitment to relationship building.
Flexibility to attend evening and/or weekend meetings and/or events.
Proficiency with Microsoft Office applications. Strong Excel skills are required.
