To plan, promote, implement and provide logistical support for major events and all internal and external special events, programs and activities conducted on behalf of the School of Social Work. Responsible for developing and maintaining a working relationship with faculty, staff, students and community organizations in planning and scheduling all events/programs for the School of Social Work. Supervise all support activities, budget and arrange for food services and other activities from University approved contractors and other private sources on and off campus. Provide marketing promotion support and communications assistance for School of Social Work events, activities and programs. Design, create and publish marketing materials such as flyers, postcards, invitations, brochures, pamphlets and newsletters for events, academic programs and student admissions/recruiting activities.
Manage and coordinate activities, conferences and events for the School of Social Work such as commencement ceremonies, welcome back, alumni, career day, holiday luncheons, speaker series, conference receptions, monthly recognition and other special day celebrations. Assist the Manager of Communications and Community Outreach, deans, program directors, faculty, staff and student organizations by planning and successfully executing School of Social Work events to improve faculty and staff morale, enhance the learning environment for students and strengthen relationships with alumni and community organizations. Create events that support the school's strategic goals and objectives for its academic programs, student recruitment, retention and graduation. Coordinate special events on and off campus and in the community. Manage and expand the community outreach engagement program. Develop and maintain a spreadsheet/ database of contacts, activities, cost and schedules. Maintain records and adhere to budget expenditures for each function/event. Recommend and propose new events and activities related to the field of Social Work that support the School's overall mission. Submit an annual proposed special events budget. Maintain an internal and external electronic calendar of all School of Social Work events and manage and update the office calendar wall events planning board. Create marketing materials such as flyers, brochures, pamphlets, invitations, ads, postcards, news releases and videos. Process APS forms, Official Occasion forms, Room and Equipment Reservation forms and other paperwork as needed to successfully execute events/activities. Initiate purchase of goods and services for each event and for other activities for the Office of Communications, Community Outreach, Recruiting and Admissions. Work with caterers and contractors in maintaining work flow progress and quality. Maintain activity event workflow, decorate and setup for events. Brief office manager/supervisor before and after completion of major events/activities. Conduct an after action review for each major event/activity with office manager and team. Research, propose and develop new services, events, methods and activities as part of long-range strategic planning. Work to independently resolve problem situations as they occur with event organizers. Maintain continuity of work operations by documenting and communicating needed actions to management. Provide an enriching school experience for all members of the School of Social Work. Assist with posting events to the School's social media platforms, website and email marketing software. Assist with taking photos and videos and posting to social media and website. Assist the communications staff with providing content to the School's newsletter, magazine and other communication products. Work closely with the School of Social Work's communications assistants and admissions and recruiting personnel to integrate special events and build synergy. Perform other duties as required with events, marketing and communications that help to foster a culture of professional development, inclusion, diversity and mutual respect.
Bachelor’s degree with two (2) years of experience or six (6) years or more special events planning and public relations or equivalent experience. Must have the ability to meet deadlines and manage multiple tasks simultaneously. Must possess an excellent attention to detail, accuracy and quality in written products. Strong writing and public speaking skills. Must have experience effectively working with individuals of varying levels of responsibility. Must have the ability to take initiative and make decisions in a changing and dynamic environment. Must have strong interpersonal relationship and negotiation skills and have the ability to work effectively with individuals from diverse communities and cultures.
Bachelor's degree in public relations, hospitality, communications, marketing or event management with three (3) years of experience in a higher education setting, involving the planning and execution of special events. Possess an Event Planning and Management Certificate. Have knowledge and experience in using audio/visual media presentation equipment and editing software for photos, videos, news releases, newsletters and other marketing materials. Knowledge and experience in public relations practice and basic news writing principles. Experience in setting up booths and tables at professional conferences and student recruiting events. Professional training and experience with graphic design, e-invite and newsletter/magazine editing and marketing software such as Adobe Photoshop, Adobe InDesign and Adobe Illustrator. Experience using email marketing software and CRMs such as HubSpot, MyEmma or Mailchimp. Experience in organizing and using industry standard Events Management Business Processes.
