The Hub Project Manager possesses a broad understanding and experience planning and managing a portfolio of product and/or service design projects; providing organizational strategy for managing a portfolio of product and/or service design projects; coaching others in managing product and/or service design projects; in topics relevant to industry and/or education; a combination of organizational and research skills as indicated by experience or education; demonstrated experience working in a cross-functional environment; strong problem-solving skills in analyzing data from multiple perspectives and in a variety of combinations; the ability to operate effectively and individually; excellent oral and written communication skills; communications content management (written, verbal, digital) experience with word processing, database, spreadsheet, presentation, calendaring, desktop publishing, project management, and design software.
Characteristic Duties and Responsibilities
Provide project management strategy and guidance for The Hub in accordance with The Hub’s design methodology and DesignOps.
Develop project management processes and procedures to promote standardization and increase efficiency, while managing stakeholder expectations and establishing a sustainable process for future success.
Work with Hub management on resource planning, availability and allocation to project objectives.
Assist in developing project objectives and key results (OKRs), developing project plans, coordinating and implementing high impact projects.
Manage changes to projects’ scope, schedule, and costs using appropriate verification techniques and performing risk management assessments to minimize overall project risks through the development of action plans.
Measure project performance using appropriate tools, ensuring to report and escalate concerns to stakeholders as needed.
Provide consistent reporting on project progress, in format and tempo, to: project lead, project team, project partners, and Hub staff.
Track and analyze project and portfolio performance, activities and report any risks, actions, issues, and decisions.
Maintain core records on project portfolio in PM system.
Conduct research and data analysis; prepare reports; and design presentation related to execution of the project portfolio.
Monitor project-related budgets, risks, and commitments and prepares related reports.
Perform project close assessments to identify opportunities for growth and to maximize operational effectiveness, amend processes and procedures, and assess work performance.
Develop resources and training materials to be utilized by staff and stakeholders in order to streamline processes and increase project efficiency.
Managers, supervisors, and administrators - in order to receive work direction, to provide information and to discuss project activities.
Faculty/Department Administrators/Other Staff - in order to receive direction, exchange information, coordinate and evaluate projects.
Students, On-call, Temporary Workers and Volunteers - in order to provide instruction, coordinate work, resolve problems, and exchange information.
Public - in order to provide services, products, exchange information and perform public relation activities.
Vendors/Suppliers - in order to acquire materials and supplies, and maintain inventory.
Responsibility for the Work of Others
May provide first level supervision over regular employees. The position responsible for the supervision of regular employees is identified with /S following the title.
This position has limited responsibility for the health and safety of others. Responsibility includes instructing and overseeing applicable safety standards.
Errors in judgment and decisions may result in negative effect on project management results and could result in damages regarding resources, time and/or monetary for the University.
Standard office environment. The job requires very little physical effort.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in design, business administration, research, education or field related to the employing unit; three to five years of related and progressively more expansive work experience in product and design project management, business analysis, facilitating/training with a focus on business management; experience working with multiple high-level stakeholders, work flow process analysis and implementation of strategic initiatives, or an equivalent combination of education and experience.
A Master's Degree in Design, Business Administration, Research, Education or related field; demonstrated experience in working in a team environment of mutual respect and collaboration; strong problem-solving skills in analyzing data from multiple perspectives and in a variety of combinations; the ability to operate effectively and individually; excellent oral and written communication skills; communications content management (written, verbal, digital) experience with word processing, database, spreadsheet, presentation, and project management software.
At least three (3) years of professional and academic experience in project management, education or related industry. Experience working with multiple high-level stakeholders preferred. Experience working with DesignOps preferred. Project Management Certification (i.e. PMP, Lean, PMDPro, etc.) preferred.
