This position provides primary support needed for the Northeast Regional Office of the Massachusetts Small Business Development Center Network to operate in an effective manner. Major responsibilities include coordinating the numerous activities of the center, delivering effective marketing, public relations and promotion programs, managing the information management systems; and reporting, and client relations, and serving as office manager. The individual serves as the face and voice of the center and requires excellent interpersonal, oral, and communication skills. The individual is responsible for the preparation, accuracy and reporting of the center’s activities to various stakeholders including Salem State University, State, and Federal agencies. The individual is responsible for communicating numerous activities through various media and coordinating these activities. The position also requires an individual with the ability to use quickly changing information tools to effectively manage the center.
Hours: 8:30am-5pm, M-F, Saturday and Sunday off
Salary: $850.655 weekly/$44,234.06 annually

Duties and Responsibilities:
(E) Serve as office manager. Plan and supervise office expenditures. Coordinate with vendors. Act on administrative/management problems. Design, recommend, develop, and implement new office policies and procedures. Ensure that all office expenditures are appropriately documents and approved in accordance with SBA and MSBDC policy guidelines
(E) Serve as the primary outreach and information and referral staff person in collaborative efforts with cooperating agencies
(E) Interact with and assess the needs of clients and the public; respond to questions regarding small business, MSBDC services, and other resources
(E) Responsible for the design, development, marketing, and delivery of all training program materials and publicity
(E) Coordinate training schedules, resources, sponsors, workshop locations and speakers, including the placement of ads in local media
(E) Prepare and send promotional e-mail blasts to clients. Take advantage of opportunities to partner with Chambers and other regional organizations to enhance visibility and participation in seminar offerings
(E) Design and produce program, press, and marketing materials for office-sponsored public relations and special interest events utilizing various computer software including MS Word, MS PowerPoint & Adobe Design Standard Creative Suite (Illustrator, InDesign, Bridge, Photoshop); and solicit quotes to ensure that marketing materials are cost effective and within budget. Work with printers and mail house to ensue that all published material conforms to SBA, MSBDC, and university publication guidelines
(E) Oversee and manage all aspects of Corporate Sponsor Program. Prepare contracts and timely renewal notifications to ensue continuing revenue. Send acknowledgements to all sponsors. Deposit receipts and reconcile revenue to Program Income account. Follow-up overdue accounts for collections. Notify MSBDC and SBA of receipt of program revenue
(E) Act as liaison with other departments and organizations including Salem State University, the MSBDC State Headquarters, the U.S. Small Business Administration, banks, Chamber of Commerce, economic development organizations, education institutions, and the local business community as part of the Northeast Regional Office’s mission to assist in the establishment and growth of area small business.
(E) Train and manage the student, office assistants and interns
Minimum Entrance Requirements:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
An associate or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
An associate or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Experience to prioritizing and managing multiple projects simultaneously
Ability to handle confidential information and exercise discretion
Excellent interpersonal, oral, and written communication skills
Proficiency using Microsoft Office, social media, and e-mail communication
Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; occasional bending, reaching, lifting, pushing and pulling up to 5-10 pounds.
