USC University Advancement division is seeking an Administrative Assistant to join its Central Major Gifts team. Reporting to the Associate Vice President (AVP) for Development the incumbent will serve as the liaison between the AVP and deans, donors, and other high-profile clients.Â Important qualities include resourcefulness, problem-solving, flexibility, a keen sense of protocol, ability to maintain confidentiality, the ability to work with grace under pressure, sincerity, humor, and the ability to work collaboratively with others.
This is a multifaceted position requiring a blend of strong administrative and public relation skills. Duties will include:
organizing and expediting flow of work through supervisor. Initiates follow-up action. Serves as resource to others on departmental and university procedures or in the resolution of moderate to complex problems or issues. Interacts with university offices and/or supervisorâs subordinates to facilitate communication and information exchange;
handling all administrative tasks on behalf of the AVP including calendaring and appointments, office budget, scheduling travel arrangements, and originating various types of correspondence;
the ability to multi-task while balancing multiple priorities and achieving a high degree of accuracy is imperative;
preparing briefings for the President, Provost and Senior Vice President for University Advancement;
answering phones and greeting guests who come to the AVP's office, extending the highest standards of hospitality to all guests, visitors, and members of the Trojan Family;
Demonstrating positive communication and interpersonal skills.Â Position requires regular interaction with interdepartmental staff, faculty members, and outside collaborators.
planning and executing various special events;
preparing meeting agendas;
preparing basic donor debriefings for AVP donor meetings;
researching and gathering data for departmental reports.Â Conducting preliminary analysis of data.Â Recommending report content and formatting to display findings most efficiently.
ensures confidentiality and controls access to sensitive donor information.
The Administrative Assistant must be a very detail oriented, customer-focused individual with a professional demeanor. The successful candidate must enjoy working with the public while performing a variety of administrative-related duties.Â Must have proficient computer skills (i.e. Word, Excel, Outlook, PowerPoint, and Adobe) and Internet research skills.
Office hours are 8:30 am - 5pm, Monday through Friday. Overtime may be required, especially in the evenings, during special events.
