Reporting to the Director of Finance and Administration of the Biomedical Engineering Department (BME) in The Fu Foundation School of Engineering and Applied Science (SEAS), the Communications and Events Manager: 1) plans, develops, executes the departmental communications and external relations strategy and public relations campaigns; 2) develops content presenting and promoting the department; 3) serves as a primary point-of-contact and liaison for external partners in academic, industry, and other entities; 4) plans and manages departmental events.
(30%) Communications and external relations. Plans, develops, budgets, and executes departmental communications and external relations strategy, public relations campaigns. Functions as a primary point-of-contact and liaison with external partners including alumni in academic, industry, media, and other entities. Drafts, edits, proofreads, and coordinates the production and dissemination of information, printed materials, online publications, including the departmental newsletter, within the departmental network of contacts. Conducts pro-active outreach activities, updates and expands the network of contacts, directories, rosters, external and internal mailing lists.
(30%) Events Management. Plans, develops, budgets, coordinates the departmental events plan and individual events, including conferences, colloquia, seminars, guest speaker events, special events, site visits, other events. Organizes all related publicity, logistics, information dissemination, travel arrangements, expense payments and and reimbursements. Coordinates strategies and plans for the national and international promotion of the Department research and academic accomplishments and to increase the visibility of the Department across peer institutions, government, and industry. Manages meetings and travel arrangements for visiting scientists, and CU personnel. Responsible for all program and event publicity (print and electronic formats), and outreach activities.
(25%) Internal planning. Manages meetings, travel planning, scheduling and calendar of the Department Chair; coordinates faculty and researcher meetings; receives, reviews, and makes appropriate disposition of correspondence; uses independent judgment and initiative in preparing draft replies to such correspondence; compiles data and prepares reports as assigned. Coordinates logistics, data collection, drafting and assembly of materials and other administrative support for faculty searches and tenure/promotion.
(10%) Media. Serves as the departmental media and website content developer and coordinator: maintains and updates faculty, staff, student and program information on a regular basis, collaborates with Dean's office for website design and website coordination with other School departments and divisions, collaborates with internal stakeholders including PIs, Systems Administrator, and Student Affairs Manager to optimize the delivery and content of media and web-based resources. Maintains departmental social media accounts incl. Facebook, Twitter, mailing lists.
(5%) Performs other duties as assigned.
Education. Bachelor's Degree in public relations, communications, journalism, marketing or related field is required.
Experience. Two to four years of experience in public relations, communications, journalism. Project management experience in communications or marketing. Publishing and writing (print or web / electronic) experience. Social media experience. Advanced level experience with publishing software, Adobe Creative Cloud or similar applications, and proven content development experience.
Skills. Must be a results-oriented, outgoing self-starter able to work with minimal supervision. Must have advanced and proven writing experience (writing sample will be required). Must be detail oriented with excellent organizational, interpersonal, oral and written communication and computer skills. Ability to work independently in a dynamic environment with changing priorities and multiple responsibilities required. Proven ability to multi-task and meet multiple deadlines is required. Ability to work effectively with faculty, staff, other departments while providing strong attention to detail. Ability to work discretely with confidential information. Must be customer service - focused, pro-active and capable of working with a diverse constituency, able to connect with diverse audiences, being flexible and maintain positive attitude while meeting strict deadlines. Must be able to work independently and exercise good judgment and discretion, and to prioritize and manage multiple tasks. Fluency in English.
Financial aptitude and spreadsheets knowledge necessary. Must be able to develop simple to moderate budgets and at least basic financial reporting. Advanced level knowledge of various social media platforms for professional use.
Preferred. Previous experience with managing events. Previous experience in executive-level support roles. Previous experience or familiarity with engineering, medical research or related areas. Master's degree preferred.
