In This Role, You Will…
Provide administrative and project support for all team members. This includes maintaining calendars, schedule and preparation for meetings, note taking during meetings, and coordinating travel arrangements. Assist with returning phone calls and emails from a variety of sources. Provide back-up for the main foundation phone line.
Prepare business plans and budget for communications team including by collecting necessary historical budget information, completing the yearly budget, and participating in the budget review meetings. Assist with budget management by tracking, monitoring and communicating budget expenditures; reviewing planned/future expenditures; reconciling monthly budget reports with expenditures, and processing invoices.
Assist with the production of mailings, ensuring appropriate paper, envelopes and signatures are on file, processing the mailings and delivering to the post office. In addition, provide support for various other projects as needed (i.e. letter stuffing, proofreading, donor and project research, printing and ordering materials.) Assist with projects in Workfront and Portfolio as well as photo and video shoots and provide backup to the project coordinator and donor relations assistant.
Research donor histories on various systems and websites and pull together pertinent information to help prepare team members for planning meetings and other activities.
Assist with various communications and processes which includes reviewing information for accuracy, processing new and renewal letters, producing appropriate letters for president’s signature and ensuring accuracy in the database. Distribute communication pieces to selected members.
Assist with management of external committees as assigned. Order and manage queries for reports, events and projects, and team metrics.
Assist with the management of processes including drafting communications, tracking information, establishing timelines, and assisting with guest lists and RSVP as assigned. Ensure that all engagement touches that are produced or coordinated by the communications and donor relations team are properly documented in the database.
To Be Successful, You Will Need…
High school diploma or GED; associates or bachelor’s degree preferred. 6-years administrative/project experience or combination of relevant education and/or demonstrated administrative/project experience totaling six years
Experience with Microsoft Office suite is required. Ability to learn in-house computer systems, especially Workfront and Portfolio.
Must possess excellent attention to detail and accuracy, communication skills (both written and verbal); editorial skills; professional judgement, organizational planning, diplomacy, and professionalism.
Creative thinker; ability to work independently with little supervision; ability to prioritize tasks and manage projects from start to finish; deadline oriented; exceptional organizational and planning skills;
Must be able to handle confidential information;
Strong customer service skills; and works well with a variety of people.
