University Events is seeking to hire an organized and detail-oriented Scheduling Coordinator to schedule the events, meetings, symposiums, conferences that occur on the Fairfax campus. The Scheduling Coordinator will be one of two coordinators with responsibility to schedule and assist with logistical support of events that occur on campus. This position will have a focus on supporting departmental events hosted by internal faculty and staff.
Responsibilities: Reporting to the Manager of Operations for University Events, the Scheduling Coordinator will be responsible for primarily scheduling events for the departments, faculty and staff on the Fairfax campus. In addition, responsibilities include; Provide event information to venue managers and service providers, work closely with departments associated with University Life, provide logistical guidance for major events, confer with clients about best practices with space requests, provide guidance to clients in obtaining proper university services for their events, and assist the Manager of Operations with duties as assigned.
Scheduling: Responsible for scheduling events primarily organized by Mason departments; provide clients and support staff with room set up diagrams, assist clients with logistical arrangements; Provide information of how and where to acquire needed University services. Schedule and assist with student events as needed.
25Live (Resource25) Management: Responsible for assisting the Manager of Operations in training and maintenance of new and current departmental users of 25live. Will be a resource for troubleshooting user issues with use of the system.
Liaison with Stakeholders: Responsible for working closely with University Life departments to assist with the scheduling and planning of major annual events that help define the college experience of the students. Responsible for working closely with Student Center Operations to provide set up information and diagrams; work closely with security, parking, catering, Event Services, etc. to ensure all events have proper arrangements. Represent events at weekly event logistics meeting.
Customer Service: Provide the highest level of customer service to all audiences. Develop a positive connection with colleagues, supervisors, university administrators, students and internal and external customers. Represent Mason in a professional and collaborative manner. Ensure clients understand policies to result in a positive event experience.
Event Coordination: Assist with major events including but not limited to, Commencement and University Holiday Party. Successfully oversee the production of events for various departments, units and in some cases recognized student organizations across campus.
Bachelor's Degree in Event Management, Hospitality, Public Relations, Communications or a related field; or an equivalent combination of education and experience;
Excellent interpersonal and communication skills, including the ability to write clearly and accurately;
Outstanding organizational skills, accuracy, attention to detail, prioritize multiple tasks and the ability to work well within deadlines Proficient in Microsoft Office suite, 25live (resource 25) and outlook calendar system;
Demonstrated ability to troubleshoot problems independently and perform duties with changing priorities and under hectic circumstances;
Ability to work nights and weekends, as needed.
Experience with 25 or other event management scheduling programs;
Knowledge of campus and event venues;
Experience working in higher education.
