The Engagement team of the UMAA engages alumni, students and friends of the University of Minnesota-Twin Cities campus through a wide variety of virtual and physical programs and services that are relevant to the alumni and meaningful to the University. These include alumni engagement based on common geography or special interest, legislative advocacy, career development, travel programs, student support and more.
The Director of Minnesota Engagement manages and coordinates strategies, logistics and execution of signature campus events and Minnesota-based alumni networks for the UMAA. Reporting to the Vice President of Engagement, this individual manages events, volunteers, and budgets that support the Alumni Association’s objectives as well as the cultivation and stewardship of alumni and friends of the University of Minnesota. This position serves as the primary liaison for geographic alumni networks in Minnesota. Additionally, this position maintains strong relationships with campus partners including Office of Student Affairs, U of M Foundation, University Relations, Office of the Provost, Office of the President, Extension, and the Schools and Colleges.
Manage the planning, coordination and execution of UMAA signature campus events (55% of job)
Establish and execute plans for signature events, from the formulation of strategic plans through logistical execution including Alumni Awards, Ski-U-Mania, Distinguished Teaching Awards, and Annual Celebration
Manage all aspects of assigned events, which may include, but are not limited to: assembling and managing the project team, creating and managing project related deadlines and reports; create and manage event promotional campaign including invitation development and mailing; identify and coordinate event presenter(s) and program content; develop and execute communication/marketing plans; selection, negotiation, and management of vendors; oversight of contracts; and providing all guest services—from invitation to RSVP management to post-event evaluation
Manage and be accountable for the accurate execution of all event details including guest lists, name tags, seating charts, event plans and other event specific details
Work closely with the Marketing and Membership team to promote UMAA revenue generating programs and attract sponsorship opportunities
Develop, oversee and hold accountability for event budgets; analyze expenses for events, including evaluating venues, accommodations, catering, services, rates and contracts; developing expense forecasts; and coordinating payment of invoices
Solicit staff and volunteer participation for events, develop and execute event-related training, manage and direct staff and volunteers from event set-up to take down
Conduct program evaluation including survey results, metrics, market research and return on investment
Manage annual Alumni Service Awards / UMAA Awards review committee, selection process, liaison with the U of M All-Honors committee and Office of Provost, and other committees as assigned
Provide alumni engagement strategy & execute activities for geographic alumni networks in Minnesota (40% of job)
Develop and implement strategies to engage an increased number of alumni in Minnesota in both physical and virtual programs that are relevant and meaningful to alumni and the University
Assess the wants and needs of the alumni in 6 or more defined geographic areas in Minnesota and work with staff, campus partners, and volunteers to deliver programs and services that meet those needs
Serve as the primary liaison and consultant to all Minnesota geographic networks and volunteer leaders
Serve as a secondary liaison for the Geographic Council of the UMAA Board of Directors. Serve as a resource to U of M system campus partners
Inform network volunteers on best practices to ensure they follow UMAA policies and practices
Work with Director of Alumni Advocacy as requested to identify and recruit volunteer advocacy leaders in key legislative districts across the state of Minnesota
Collaborate with strategic campus offices and schools/colleges to coordinate and enhance engagement throughout the state via lifelong learning and faculty speaker events
Manage volunteer rosters, capture event registrations and survey information, as well as track and monitor the number of alumni engaging in activities
Assess the creation of new geographic networks based on inquiries or volume of alumni in an area
Assess UMAA services on an ongoing basis to ensure organization is providing the best possible resources to Minnesota area volunteers; analyze market research and recommend programmatic changes based on research

Minimum of 3 years event experience planning and executing large events
Ability to handle and prioritize multiple simultaneous projects, work independently and under pressure, and establish and meet deadlines and measurable goals
Excellent customer service, interpersonal, organizational, and oral and written communication skills
Creative problem solving, negotiation and presentation skills
Proven event planning, project management, and budget management skills
Ability to form and manage event teams consisting of staff and volunteers
Demonstrated ability to understand the organizational mission and reflect it in event components
Strong computer and database skills, with experience using Microsoft Office applications.
Willingness and ability to work evening and weekend hours as necessary
On event days: ability to spend 10+ hours engaging in physical activity, including lifting and moving boxes and items (up to approx. 35 pounds) from storage to venue; setting up registration tables, displays and signage; setting and decorating tables; greeting and assisting guests at registration; disassembling and packing event materials; assist with activities on-site as needed.
Able to drive to in-state meetings and events in either University motor pool vehicle or personal vehicle (mileage reimbursed) as needed.
Bachelor’s degree in communications, marketing, public relations or related field
Proven ability to work with volunteers, donors, and vendors
Experience in an academic, fundraising, marketing, or nonprofit environment
Significant experience in managing large events and motivation volunteers
Salary Range: $55,000-60,000
