Academic Program Specialist - Physician Assistant Program - (190000MO)
The Graduate School ( www.graduate.umaryland.edu/ ) at the University of Maryland, Baltimore (UMB) in collaboration with Anne Arundel Community College (AACC) has an opportunity for an Academic Program Specialist working at the Arundel Mills Regional Higher Education Center. Under general supervision, independently coordinates the academic and operational tasks involved in the day to day administration of the collaborative Physician Assistant (PA) Program.

Receives, screens, and responds to student inquiries on the phone or in writing. Provides general information about the PA program such as admission requirements, basic academic policies, and general program content; directs students to the correct person or individuals in the PA department.
Coordinates administrative processes involved in supporting academic programs which typically include marketing, recruitment, admissions, registration, and retention of students for the PA Program. Drafts correspondence for prospective and current students of the PA program and processes all necessary paperwork.
Assists in the preparation of interview, new student orientation, and graduation materials; edits, formats, and publishes all PA Program manuals; prepares meeting minutes; assists with preparation letters to applicants and students as needed; manages faculty tuition assistance records and processes requests for reimbursement.
Coordinates faculty calendars; schedules meetings and departmental activities at the request of the Program Director, including coordinating facilities use, catering, public relations and marketing, and special materials, etc. Assists with scheduling of exams, classes, and special events.
Participates in all efforts to promote and publicize the PA program such as recruitment fairs and professional conferences. Represents the PA Program at school functions.
Prepares program materials and promotional correspondence for the PA program. Coordinates printing and publication requirement with University or other external resources.
Organizes and maintains detailed databases (Ellucian, QM, Typhon) to allow for tracking of students records in the PA program following FERPA and ARC-PA Guidelines. Maintain ARC-PA Portal of Clinical Sites. Inputs data and manages PA program databases to provide condensed reports as necessary for the Physician Assistant Program Director.
Maintains all files for PA Program including didactic and clinical files. Prepares correspondence to adjunct and volunteer preceptors for student clerkship assignments. Maintains the tracking of students enrolled in PA program and validates completion of special academic requirements, including hospital credentialing.
Manages operating and grant budget accounts, including locating sources of goods, recommending vendors, preparing and processing requisitions and assigning proper account information. Maintains budget account records, monitors accounts and reports account balances to the Program Director. Assists the Program Director in the preparation of budgets as requested. Coordinates grant reports with College grant officer and school.
Creates detailed reports, graphics, and templates to assist in the preparation, organization and presentation of PA program materials for accreditation sites visits and self-study reviews.
Monitors the inventory of office supplies and equipment; orders supplies as needed.
Arranges for the repair and maintenance of office equipment and furniture; identify equipment needs.
Functions as a liaison between the office and Facilities Management, Security and other college services to ensure timely services.

EDUCATION: Bachelor's degree.
EXPERIENCE: One year experience in administrative staff work in which program coordination in a directly related field was a primary responsibility.
OTHER: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
General knowledge of business English, spelling, and grammar. General knowledge of and skill in the use of word processing, database, and spreadsheet software to produce documents and maintain information. Skill in performing basic mathematical computations. Ability to present statistical material in table, chart, or graph form. Ability to plan, organize, and prioritize multiple tasks and assignments. Ability to handle confidential and sensitive matters with tact and discretion. Ability to communicate effectively orally and in writing. Ability to understand and follow oral and written instructions. Ability to establish and maintain effective working relationships. Ability to operate computers and other office equipment. Ability to train, supervise, and evaluate personnel.
CONDITIONS OF EMPLOYMENT
Individuals must be willing to work at the Arundel Mills Regional Higher Education Center and the Anne Arundel Community College Arnold campus. This position requires a valid Maryland State Driver's license and own transportation/the ability to drive between campuses.
Salary Range: $41,000 - $44,000
